About The Position

Temp To Full-Time Office Assistant Our client is seeking a detail-oriented and organized Office Assistant to support daily administrative operations and help maintain a professional, efficient office environment. This role requires a proactive individual who can manage multiple tasks, support clients and staff, and contribute positively to overall office success. LOCATION : Portland, OR (Through March) SALARY : $21/hr. Requirements

  • Strong organizational and time-management skills, with the ability to multitask, prioritize workload, and maintain attention to detail in a fast-paced office environment.
  • Administrative and clerical experience preferred, with restoration or construction industry experience considered a plus.
  • Client-focused and professional, demonstrating excellent customer service, communication skills, and a positive, can-do attitude.
  • Proficient in Microsoft Office, with experience in job management or scheduling software and accurate data entry skills; typing proficiency required.
  • Educational background and additional skills, including a high school diploma (Associate’s degree preferred), bilingual abilities and personal assistant experience are beneficial.

Responsibilities

  • Manage front desk and administrative operations, including greeting visitors, handling multi-line phone systems, scheduling appointments, and coordinating meetings.
  • Maintain accurate records and documentation, opening and organizing job files, tracking contracts, permits, photos, compliance forms, and ensuring both digital and paper files are up to date.
  • Provide client and stakeholder support, assisting with estimates, invoices, client updates, and communicating with insurance adjusters, property managers, and internal teams.
  • Perform data entry and clerical support functions, including proofreading documents, managing calendars, updating systems, supporting bookkeeping, and tracking HR and safety records.
  • Support overall office efficiency, maintaining office organization and supplies, assisting with marketing and special projects, and collaborating with team members as assigned by management.
