About The Position

The Office Assistance serves in a support role, serving multiple departments across ProAct. Scope of Responsibilities: Works under general supervision. Follows established procedures to accomplish assigned tasks and escalate issues as appropriate. Protect and maintain the confidentiality of all company business and any personal information obtained in the course of performing job duties Assist with corporate travel arrangements as directed, including coordinating with travel agencies and submitting accommodation booking requests. Perform general administrative duties Responsible for sorting and distributing incoming/outgoing faxes, internal mail and external mail to appropriate offices Coordinate various corporate meetings or events including venue procurement, food, activities and other meeting materials or event needs as required. Screen phone calls and visitors and follow security procedures Assist Marketing, Account Management, Help Desk and Proposal departments with daily and/or special projects as time allows Assist with the distribution and tracking, of client and vendor contracts Assist with the shipping and/or receipt of supplies and materials as needed Responsible for completing all assigned projects in a timely manner Responsible for completing all mandatory and regulatory training programs Perform other duties as assigned

Requirements

  • Strong written and verbal communication skills
  • Working knowledge with Microsoft PowerPoint, Excel and Word
  • Ability to get along well with co-workers and with supervisors
  • Excellent phone communication skills

Nice To Haves

  • Associate’s Degree
  • 1 or more years experience working in an office setting, reception or customer service.
