Job Summary We are seeking a dependable and detail-oriented Office Assistant to support daily operations. This individual will report directly to the EVP, Operations and will be responsible for providing administrative support, answering phones, and assisting with data and reporting needs.

Requirements

  • Associate's degree or higher preferred
  • 3+ years of previous administrative experience preferred
  • Proficiency in Microsoft Office (specifically Excel)
  • Strong phone etiquette and communication skills
  • Exceptional organization and time management skills

Responsibilities

  • Answer, screen, and direct incoming phone calls in a professional and courteous manner
  • Take accurate messages and relay information properly
  • Assist with preparing reports, spreadsheets, and documents
  • Prepare and format documents, spreadsheets, and presentations
  • Assist EVP, Operations in daily tasks, meeting coordination, and developing company documents using PowerPoint, Excel, Word, etc.
  • Maintain confidential and sensitive information with discretion
  • Track key initiatives, goals, and deadlines to ensure execution
  • Record, summarize, and distribute meeting notes, while tracking and following up on action items and key takeaways
  • Manage front desk reception, including welcoming guests and notifying staff of their arrival
