As an Office Assistant, you will play a key role in providing administrative and clerical support to the administrative staff and ensuring efficient office operations. Requirements

  • High school diploma or equivalent.
  • 3+ years of administrative support experience, with demonstrated proficiency in computer applications, including Windows XP, Microsoft Word, Access, Excel, PowerPoint, Print Shop, and Publisher.
  • Demonstrated discretion, professionalism, and sound judgment in handling sensitive and confidential matters.
  • Excellent interpersonal, written, and verbal communication skills, with the ability to interact effectively and tactfully with individuals at all levels, including residents, staff, families, external vendors/authorities, and the public.
  • Strong attention to detail in writing, proofreading, managing priorities, and meeting deadlines in a fast-paced environment.
  • Proven ability to work both independently and collaboratively within a team environment, demonstrating a cooperative, respectful, and compassionate approach to colleagues and resident care.
  • Skilled in the use of standard office equipment and technology.
  • Maintains professionalism, composure, and a positive attitude when managing challenging situations.
  • Physically able to move throughout the workday and lift items up to 20 pounds using safe handling practices.
  • May be necessary to assist with resident evacuation during emergency situations.

Responsibilities

  • Maintain and regularly update databases containing resident and constituent information.
  • Record and compile accurate minutes for meetings, as needed.
  • Assist in the creation, formatting, and editing of reports, correspondence, charts, policies, meeting minutes, calendars, and other documents.
  • Operate standard office equipment including telephone console, pagers, fax machines, copiers, folding machines, postage meters, and other tools necessary for clerical tasks.
  • Provide receptionist coverage during breaks and absences.
  • Generate updated reports on resident information in response to staff requests, in accordance with department procedures.
  • Manage residents’ personal funds accounts, including monthly reconciliation and preparation of quarterly statements for resident review and signature.
  • Support the onboarding and training of new employees.
  • Participate in all required in-service training sessions.
  • Attend continuing education programs to enhance skills and job performance.
  • Perform additional duties as assigned.
