About The Position

We are seeking a professional, reliable and detail-oriented Office Assistant to support the day-to-day operations of our headquarters. This entry-level role focuses on keeping the office organized, stocked, and running smoothly while providing basic assistance and support to employees, managers, and visitors. It is ideal for someone who is highly organized, enjoys helping others, and takes pride in maintaining a well-functioning workplace.

Requirements

  • 2-3 years of experience in an administrative, customer service, or support role
  • Prove excellent organizational skills and strong attention to detail
  • Customer-focused attitude and willingness to help with a wide range of tasks
  • Clear and concise communication and interpersonal skills
  • Ability to follow directions and manage time effectively
  • Solid proficiency with common workplace tools (e.g., Google Workspace, Excel, Word, Powerpoint)
  • Ability to handle sensitive information with discretion
  • Ability to handle rapidly changing priorities and get things done quickly
  • Availability to work on-site five days per week
  • Ability to apply strong critical thinking and judgement to day-to day responsibilities
  • Team player attitude and spirit
  • Demonstrates strong professional image and presentation to others
  • Uses discretion and protects confidentiality in interactions with co-workers

Nice To Haves

  • Prior experience in an office or front desk environment
  • Brings experience in administrative support of executives and managers
  • Familiarity with workplace tools such as Slack or DocuSign

Responsibilities

  • Maintain cleanliness and organization of common areas, including kitchen, pantry, and conference rooms
  • Restock office supplies, snacks, and beverages; track inventory and notify when reordering is needed
  • Assist with receiving, sorting, and distributing mail, packages, and deliveries
  • Schedule, set up and reset conference rooms for meetings, including providing basic technology support as needed
  • Greet visitors and provide a professional, welcoming front-desk experience
  • Respond to routine office-related requests from employees
  • Assist in company meeting planning and execution
  • Provide general administrative support to Human Resources and Executive Assistant functions to others in the company, as needed
  • Assist with new hire onboarding tasks, including workspace setup, onboarding, and scheduling meetings
  • Support ordering and distribution of business cards, SWAG, and company materials
  • Help coordinate logistics for meetings, team events, and office activities
  • Maintain basic records and assist with data entry or document preparation
  • Help coordinate and perform routine services such as cleaning, maintenance, and office supply deliveries
  • Report facility or equipment issues to appropriate vendors or internal contacts and schedule repairs
  • Assist with ensuring office safety guidelines are enforced and compliance postings are visible and up to date
