About The Position

We have an exciting opportunity for a full-time Office Assistant in the Plant Operations department. The Office Assistant is responsible for performing secretarial duties, record keeping functions and administrative detail and follow-up functions to assist the Maintenance Department staff in meeting the needs of the facility. Demonstrates an understanding of, and embraces the mission statement of Christian Health.

Requirements

  • Demonstrates compliance with the CH ASPIRE Standards of Performance.
  • One-year secretarial experience preferred.
  • Must have working knowledge of computer/word processing.
  • Must be proficient in Windows, Microsoft Word and Excel.
  • Willing to be trained on Yardi work order computer software.
  • Must be able to type 50 words per minute.
  • A high school diploma or equivalent; secretarial school diploma preferred.

Responsibilities

  • Generates and analyzes daily, weekly and monthly work order reports for accuracy of data entry and to identify trends and training opportunities.
  • Ensures preventative maintenance activities are being documented in compliance with the recommended schedules.
  • Ensures the CMMS software data files are complete and current.
  • Participates in all facilities operations discussion groups aimed at forming solutions to existing problems related to CMMS and Plant Operations and developing process improvements.
  • Provides technical feedback for the CMMS and makes recommendations about the data being collected/transacted.
  • Participate in all discussion groups aimed at forming solutions to existing problems related to CMMS and Support Services and developing process improvements.
  • Responds to customer problem/service calls and enters them into the maintenance system.
  • Dispatches staff for critical work orders.
  • Develops work orders, call service providers and creates work orders.
  • Communicates effectively with customers and call CH customer service representatives.
  • Effectively communicates with service workers and provides internal customer service by radio, telephone, email or in person.
  • Greets vendors, signs them in, and directs them to the appropriate location.
  • Utilizes computer, maintenance work order software and tablets to receive and complete work requests and emails.
  • Coordinates all aspects of Cablevision TV service.
  • Complete ability to perform the daily activities within the office of Plant Operation/Maintenance Department.
  • Maintains inventory of office supplies.
  • Orders supplies for staff.
  • Ability to handle and resolve recurring problems.
  • Establishes and maintains permanent files and retrieves files.
  • Performs daily tasks on Yardi work order computer software, which include: Prioritizing work orders; Inputting daily labor for staff; Inputting vehicle and project costs; Scheduling PM’s and retrieving reports associated with software; Answers telephone and provides information/assistance and/or routes caller to appropriate staff.
  • Schedules safety training and maintains documentation.
  • Maintains department specific binders.
  • Emergency notification emails.
  • Take meeting minutes.
  • Updates holiday, on-call, snow list, direct reports and vehicle list.
  • Effectively coordinates and communicates with vendors.
