About The Position

Under general supervision, performs complex payroll scheduling and clerical duties for uniformed or investigative operations of their assigned district requiring a thorough knowledge of payroll systems and organizational/departmental policies and procedures. ESSENTIAL JOB FUNCTIONS: Scheduling functions, including but not limited to: Entry/Modification, Scheduling, reviewing Time-off/Leave entries. Cross referencing any paper exceptions or notations with timekeeping system. Coordinating minimum staffing standards and schedules (including training and court) with district commanders. Coordinating with district timekeeper for resolution of payroll issues and maintaining support documentation. Answer questions and disseminate information requiring a thorough knowledge of Department and organizational policies and procedures. General office duties, including but not limited to: Scanning, Copying, Filing and file organization. Administrative support functions including but not limited to: Composing and typing correspondence, memoranda, schedules and reports. Preparing, compiling and distributing written materials and mail; maintaining bulletin boards, ordering supplies Making equipment and building repair requests. OTHER JOB FUNCTIONS: Review and process counterfeit money. Review and enter Outside agency reports. Ability to cross-train and serve in a backup capacity for other district office assistants. Adhere to all additional job-related instructions and to carry out any other duties assigned by their supervisor.

Requirements

  • Knowledge of office and administrative practices and procedures.
  • Skill in using PC Software including current Microsoft Office Suite of applications.
  • Skill in communicating professionally and tactfully with other city employees and the public by oral and written means.
  • Skill with organization and attention to detail.
  • Ability to exercise discretion and independent judgment utilizing knowledge of the organization's policies.
  • Ability to work independently under general instructions.
  • Ability to perform a variety of physical skills including but not limited to filing, pulling, seeing, sorting, squatting, standing, stooping, twisting body, typing, walking, and writing.
  • Ability to operate a variety of office equipment including but not limited to PC, telephone, calculator, scanner, and copier.
  • Ability to prioritize deadlines and tasks.
  • Ability to learn new systems and procedures quickly.
  • Ability to plan, organize, monitor, and collaborate with internal and external stakeholders to accomplish unit objectives.
  • Ability to understand mathematical calculations involving fractions, percentages, and decimals.
  • Ability to work within a set schedule.
  • The above knowledge, skills and abilities may be demonstrated by one year of college.
  • Two (2) years related clerical experience.
  • Any equivalent combination of education and/or experience may be substituted for the above.
  • Criminal background check
  • CJIS complete background check
