The Multnomah County District Attorney’s Office is seeking highly motivated individuals to join our team as an Office Assistant 2 (OA2). This is an essential entry-level role in our legal administrative staff structure, and it serves as a foundational entry point into a meaningful and mission-driven career. Many of our higher-level legal assistants and operations supervisors began as OA2s, and we are committed to building a high-quality, well-trained, and capable workforce by investing in the development of our staff from day one. As an OA2 in the Multnomah County District Attorney’s Office, you will become part of one of Oregon’s most visible and impactful public law offices. You will be part of a team of attorneys and staff who work every day to serve the public, support victims of crime, and pursue justice. Whether you’re managing sensitive documents, assisting the public, or supporting attorneys and legal staff, your work will have a direct impact on the efficiency, fairness, and integrity of our operations. We're currently looking to fill positions located at the Central Courthouse 1200 SW 1st Avenue Suite #5200, Portland, Oregon and the East County Courthouse 18480 SE Stark Street, Portland, Or. 97233 This recruitment will be used to fill multiple positions. Below are examples of the types of OA2 positions in our office, including those may be filled through this recruitment. SUBPOENA CLERK: Almost every unit in the District Attorney’s Office has a subpoena clerk. The clerk sends out hundreds of subpoenas weekly to victims & witnesses to notify them of trial or grand jury dates. DISCOVERY CLERK: The Discovery Unit is responsible for preparing police reports and other criminal case records for distribution to defense attorneys. RECORDS/DOCKET CLERK: The Records/Docket Clerk is responsible for managing the organization of case files and ensuring case files are made available to Deputy District Attorneys for each day’s court proceedings. INTAKE CLERK: The Misdemeanor Trial Unit is responsible for receiving misdemeanor cases from local police agencies. Intake clerks enter cases into our case management system so that they can be reviewed by a Deputy District Attorney and make their way through the case resolution process. RECEPTIONIST: There are several receptionist positions throughout our office. These positions are found in the Central Courthouse, East County Courthouse, Juvenile Detention Center, and Justice Center. Receptionists are primarily responsible for greeting & assisting the public by phone & in-person.

Requirements

  • Equivalent to the completion of the twelfth grade
  • Minimum of two (2) years of general office support or customer service experience dealing directly with the public; which can include but is not limited to processing legal documents and correspondence, printing, filing, recording information, answering calls and referring callers to appropriate personnel.
  • College level coursework with emphasis in Clerical, Legal Clerical, Secretarial, Criminal Justice, Government, Law, Political Science, or a related field may substitute for up to one year of experience.
  • Experience providing professional customer service to diverse communities.
  • Experience working with confidential information.
  • Ability to organize and prioritize work and accuracy with detail are required.
  • Must be able to work together as a team under pressure with time sensitivity.
  • Must be flexible and able to fill in at any of several desks on short notice.
  • Ability to be proficient with using standard applications and criminal justice databases to input and retrieve sensitive information (Microsoft Office; Word and Excel, Adobe, Pbk (Karpel), LEDs etc.)
  • Candidates must successfully pass a thorough criminal background check and post -offer urine drug screen.
  • During the interview process, you will be asked to sign a disclosure statement about the arrests and convictions of immediate family members and close relations pursuant to our policy regarding Outside Associations. Immediate family is defined to include parents, spouse, spouse equivalent, brother, sister, children, grandparents, or any individual where the relationship is close or intimate, or a roommate.

Nice To Haves

  • Additional clerical, legal clerical, or administrative training is desirable.
  • Bilingual highly preferred (will require a language proficiency exam)
  • Prior research experience in a criminal justice agency.
  • Prior work in a public sector organization within the last five years.
  • Law Enforcement Data System (LEDS) Certification
  • Knowledge of and/or experience using legal terminology is highly desirable.
