About The Position

The Office/Sales Assistant will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. This person is responsible for all office needs, inventory control, office up-keep and organization. This person will also be supporting all other departments as needed, specifically Sales and Marketing. This is an on-site, part-time, in-person opportunity.

  • Must be currently enrolled in a Bachelor’s degree program in Business Administration, Marketing, or Communications, or have already earned a Bachelor’s degree in one of these disciplines.
  • Minimum of 1-2 years of experience supporting sales and/or marketing departments.

Nice To Haves

  • Proficient with Adobe preferred.
  • Experience with HubSpot or a similar CRM program preferred.

Responsibilities

  • Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
  • Provides clerical support when needed to assist staff with assigned administrative duties such as answering phones, sorting and distributing mail, preparing documents, and preparing presentations.
  • Maintains inventory of office supplies; assists Director of Finance ordering new supplies as needed.
  • Maintains office files; implements an efficient system for other staff to access files and records.
  • Maintaining inventory, printing, ordering swag, and shipping items for conferences, convenings, etc. Please note, items may be around 25lbs or more.
  • Assist HR and Finance with new employee onboarding as needed.
  • Responsible for answering the company telephone number and routing to the appropriate department as necessary.
  • Proofread documents from all departments as needed
  • Support other departments when needed with MS Excel and other similar types of software to track and collect data.
  • Support and assist the sales and marketing departments, and other departments as needed. Specifically assisting with reporting and data input and extraction on various platforms including HubSpot CRM.
  • Travel may be required to conferences or client visits within the U.S.
  • Performs other related duties as assigned.
