About The Position

We are seeking an organized and professional Office Administrator to support the BTES office at Cannon AFB. In this role, you will serve as the first point of contact for Air Force service members pursuing their higher education. You will manage the front office, proctor exams, track student data, and assist with the administration of the Community College of the Air Force (CCAF) program. This is a non-personal services contract position requiring a high level of customer service, data accuracy, and adherence to Air Force regulations.

Requirements

  • Must hold an Associate’s degree or higher in a related field (Human Resources, Education, or Business) from an accredited United States college or university.
  • Minimum of one year of professional work or volunteer experience in: Adult and/or Higher Education, OR Department of Defense (DOD) training management, OR Equivalent experience in Human Resources or Business.
  • Proficient in Microsoft Office Professional (Word, Excel, Outlook) and Internet Explorer, with the ability to troubleshoot non-complex software problems.
  • Excellent English verbal and written communication skills are essential for interacting with customers and leadership.
  • Must be able to pass a National Agency Check (NAC) background investigation.

Responsibilities

  • Serve as the primary receptionist: answer telephones, direct customer inquiries, and welcome visitors to the BTES office.
  • Schedule appointments, make referrals to appropriate education counsellors, and research client messages.
  • Maintain a "continuity book" of online distance learning sites and classes to assist service members with course selection.
  • Ensure a professional environment by setting up the briefing room for scheduled events and maintaining office organization.
  • CCAF Tracking: Monitor and track the progress of over 4,000 service members assigned to Cannon AFB in the Community College of the Air Force (CCAF) program.
  • Graduation Support: Assist with the planning and execution of annual CCAF graduation ceremonies.
  • Schedule students for exams, maintain strict security of all examination materials, and serve as a test proctor for exams as needed.
  • Utilize the Air Force Automated Education Management System (AFAEMS) to update education levels, grades, course enrolments, and degree completions.
  • Maintain a database of training enrollment/completion, analyze data for trends, and submit a monthly report to the Contracting Officer Representative (COR).
  • Review and coordinate individual personnel training reports and spreadsheets.
  • Monitor the computer laboratory to ensure equipment is being used properly.
  • Report any malfunctioning equipment within 3 business days and assist in maintaining the Automated Data Processing Equipment (ADPE) inventory list.
