About The Position

The Office Administrator is responsible for administrative activities at the Las Vegas facility, providing operational, financial, and administrative support to site staff and leadership. Key competencies in organization, attention to detail, and teamwork will be an asset in an environment where safety and integrity are valued. This role supports Southern Nevada’s transportation and manufacturing industry by producing double-deck buses for customers across North America, at the only facility of its kind in North America, which serves as a hub for cutting-edge transit solutions.

Requirements

  • Experience in an administrative or accounting support role
  • Strong systems aptitude with proficiency in Microsoft Office (particularly Excel, Power BI, Word, and Outlook) and the ability to quickly learn new software and tools.
  • Attention to detail with high accuracy in data entry and documentation, and the ability to stay organized in a fast-paced environment
  • Ability to work independently within established processes, using problem-solving skills to identify issues and seek clarification when needed

Nice To Haves

  • Post-secondary education or relevant certificates in Business Administration or a related field preferred
  • Experience in a manufacturing or similar environment is an asset
  • ERP/MRP experience is an asset

Responsibilities

  • Own and execute administrative duties to support operations at the Las Vegas facility.
  • Provide administrative support to site staff and senior Alexander Dennis leadership
  • Scan, organize, and maintain electronic files and documentation
  • Coordinate and support site visits and meetings
  • Support non-production cost tracking and reporting activities
  • Maintain and reconcile capital asset lists for reporting purposes
  • Order office consumables and coordinate local site services
  • Provide Accounts Receivable and Accounts Payable support as assigned
  • Update and manage local non-stock purchase orders
  • Resolve invoice queries in collaboration with the local team
  • Post AR receipts and process freight invoices
