About The Position

We are seeking a diligent and detail-oriented Office Administrator to coordinate temporary staffing needs, manage payroll submissions, and support various administrative tasks. This role is integral in ensuring the smooth operation of our office by maintaining accurate records, facilitating communication, and managing supplies.

Requirements

  • Proficiency in data entry and invoice entry.
  • Experience with ordering and customer service.
  • Professional demeanor with attention to detail and discretion.
  • Ability to work with general office software such as MS Office, ADP payroll, and MS Excel.
  • 2-3 years of relevant experience.

Responsibilities

  • Coordinate temporary help needs with management and temp agencies.
  • Approve and submit temporary help hours to agencies, ensuring temporary help employees are properly paid.
  • Communicate the end of assignments and ensure timecards are correct each week.
  • Manually enter times for missed punches and submit for payment through ADP web-based software.
  • Enter new employees into the ADP system and add hourly employees to the time clock.
  • Assist in entering, coding, and submitting invoices for payment, confirming goods and services have been provided, and ensuring receipts are signed and approved.
  • Prepare and process reports, invoices, and other business documents.
  • Maintain inventory of cleaning, sanitary supplies, and basic office supplies.
  • Administer the ordering of supplies as needed.
  • Answer and direct phone calls, emails, and inquiries in a professional manner.
  • Handle incoming and outgoing mail, ensuring timely distribution.
  • Support various departments as needed, performing general administrative duties and ad hoc tasks.
  • Assist in setting up meetings and lunches for the office.
