About The Position

The Office Administrator takes service requests and questions, applies bill payments, and performs other administrative tasks in the Service Office.

Requirements

  • High School Diploma or equivalent required
  • Experience in an administrative setting preferred
  • Proficient in calendar management
  • Experience with multi-line phone systems
  • Strong organizational and time management skills
  • Excellent communication skills and a team-oriented attitude

Nice To Haves

  • Prior knowledge of pool care a plus

Responsibilities

  • Assists customers by phone and email with service requests, questions, and some pool/spa troubleshooting. Addresses concerns and complaints in a timely and effective manner. Escalates customer issues and concerns to Service Office Manager/Service Manager as needed
  • Coordinates and schedules service appointments for clients. Ensures instructions are clear for technicians on sales orders and necessary parts/equipment are noted on the ticket.
  • Provides estimates and takes orders for new or replacement equipment for pools and spas
  • Takes deposits and processes payments for work completed. Sends invoices to clients for completed work and follows up with clients if payment is needed
