About The Position

The Office Administrator supports daily office operations, HR processes, and employee engagement activities. This role ensures smooth administrative workflow and a welcoming environment for employees and visitors.

Responsibilities

  • Support the HR Manager with administrative tasks, HR initiatives, and employee communications.
  • Monitor the HR inbox and escalate urgent matters appropriately.
  • Assist with benefit administration, including enrollment communication, invoice processing, and employee inquiries.
  • Maintain and update employee data in the HRIS, including demographics, compensation, deductions, and tax information.
  • Set up new employee workspaces and coordinate IT equipment setup.
  • Organize first-day and first-week welcome activities.
  • Manage new hire paperwork and onboarding tasks.
  • Assist with employee engagement programs, including service awards, holiday events, and special projects.
  • Maintain office areas and coordinate service providers as needed.
  • Take and track management meeting minutes.
  • Track HPT and other administrative logs.
  • Issue inclement weather announcements.
  • Ensure the office is properly closed at the end of each day.
  • Cover the front desk during the receptionist’s lunch break.
  • Coordinate anniversary lunches and track employee birthdays.
  • Maintain organized records and filing systems.
  • Perform other duties as assigned.
