About The Position

We are seeking a highly organized and proactive Office Administrator to support daily administrative and operational functions at our Lynnwood office. This role is essential in keeping our office running smoothly while maintaining strong coordination with our Vancouver headquarters. The ideal candidate is detail-oriented, tech-savvy, and able to multitask effectively in a fast-paced, small office environment.

Requirements

  • 2+ years of office administration or administrative support experience
  • Strong multitasking and organizational skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with onboarding or HR-related admin tasks preferred
  • Basic technical troubleshooting skills
  • Strong communication and interpersonal skills
  • Valid driver’s license with clean driving record
  • Ability to work independently in a small office environment

Responsibilities

  • Manage incoming/outgoing mail, shipments, and deliveries
  • Receive, sort, and distribute packages
  • Submit PTO requests and administrative updates
  • Scan and send documentation to headquarters
  • Maintain accurate records and office communications
  • Order office supplies and manage administrative workflows
  • Greet and assist guests, vendors, and subcontractors
  • Serve as the primary point of contact for staff support
  • Maintain a clean, organized, and welcoming office
  • Assist with computer setup and system access
  • Ensure new hires have tools, accounts, and paperwork ready
  • Guide employees through onboarding processes
  • Coordinate with IT and leadership
  • Provide basic troubleshooting for computers, phones, and office tech
  • Submit and monitor IT support requests
  • Coordinate equipment repairs and replacements
  • Send reminders for vehicle maintenance and service appointments
  • Track facility-related appointments and updates
  • Assist with scheduling and logistics communication
  • Run local errands (bank, post office, vendors)
  • Support document transfers between offices
  • Assist with occasional pickups and deliveries
