About The Position

Dewberry is seeking an experienced and motivated Office Manager/Administrative Assistant (Part-Time up to 24 hours ) for its Boston, MA office, a few steps from Boston’s South Station. The successful candidate will be someone who is energetic, organized, and detail oriented. This individual will work in-person at our office to support a team of 50 civil engineers, and will be responsible for assisting the Business Unit Manager and Department Heads on day to day logistics. Requirements

  • High school diploma required, Bachelor’s degree preferred
  • 10+ years of experience as an office/administrative assistant or similar role
  • Strong proficiency with Microsoft Word, Excel, PowerPoint & Outlook; Teams and Adobe Acrobat
  • Must have a strong work ethic, excellent time management skills and self-starter/proactive mindset
  • Strong interpersonal and written and oral communication skills
  • Must be flexible and able to adapt quickly to various tasks and changing demands, and be a team player
  • Ability to work independently while following instructions and pre-established guidelines to perform the functions of the job
  • This role is expected to be part-time ( approximately 16-24 hours per week )

  • Only recipients of an offer of employment from Dewberry, will be required to submit to a background screening which may include, but is not limited to, employment verification, educational and other credential verification, driving record check, criminal background check, and an investigative consumer report. These screenings will be conducted by Dewberry’s background vendor of choice and will be conducted in compliance with all applicable federal, state, and local law.

Responsibilities

  • Provide necessary administrative support to project managers and technical teams
  • Coordinate company activities with other Dewberry national offices.
  • Prepare materials for meetings (agendas, presentations, documents, notes)
  • Create and/or prepare spreadsheets, memos, letters, and reports
  • Support logistics and coordination with landlord/building manager/security
  • Support logistics around use of company vehicles
  • Archive projects/documents, as needed
  • Track equipment maintenance and maintain equipment use logs
  • Handle sensitive information with complete discretion
  • Manage inventory of office equipment and supplies, and order as necessary
  • Manage travel for senior managers, as needed
  • Respond to and communicate with clients via phone, email, letter, and in-person
  • Schedule meetings and keep organized.
  • Schedule food and beverage services during meetings.
  • Set up Virtual/Teams meetings and send reminders
  • Other duties as assigned
