We have been treating adult and pediatric patients for over 51 years who suffer with allergies, asthma and immunology-related illnesses. Position Purpose: Reporting to the Clinic Manager, this full-time position is responsible for the management of the front office while assuring patient satisfaction by working as a team member with the front office personnel and partnering with back-office personnel.

Requirements

  • Graduate of accredited Medical Administrative School or combination of experience & education.
  • Minimum of 3 years medical office experience.
  • Minimum of 3 years in a supervisory role or combination of experience & education.
  • Strong attention to detail; strong communication skills with the management team and all personnel and patients.
  • Demonstrated ability to set a professional example, be flexible and office responsible.
  • HepB, CPR

Responsibilities

  • Coordinates office schedules for providers; manages staff schedules and personnel performance; performs daily troubleshooting of schedules with patients, staff, and providers.
  • Reviews daily MD/APP schedules to evaluate flow; patient flow/staffing needs; coordinates staffing issues with the Clinic Manager.
  • Analyzes budget expenses relating to personnel, equipment, supplies, etc.
  • Assures the highest standards of customer service are met by all team members.
  • Assures patient satisfaction by working as a team member with all personnel.
  • Demonstrates accuracy in recording all pertinent information in patient EMR.
  • Demonstrates knowledge of management and leadership in carrying out office policies and procedures.
  • Reviews and approve employee timecards, PTO, etc.
  • Attends Supervisory meetings.
  • Schedules monthly meetings for clinic management (CM, OAM, and all clinic providers), and monthly staff meetings; sets agenda items, takes minutes and follows up on items pertaining to the front office.
  • Works with the Patient Finance Office to assure compliance with all billing policies and procedures; educates and trains front office staff on policies and procedures.
  • Demonstrates ability to perform proficiently as an Office Assistant; may cross train to the back office and/or immunotherapy injection desk.
  • Demonstrates flexibility and professionalism; maintains open communication and a team-oriented work environment with all departments.
  • Supervises hourly staff before clinic opens, during clinic hours and after clinic hours close.
  • Manages Saturday clinic schedule for staff
  • Takes initiative and is a self-starter.
  • Ensures OSHA and HIPAA Compliancy.
  • Other duties as deemed necessary.
