About The Position

Bedford Public Schools Invites applications for the position of: Building Administrative Assistant- Elementary-Temporary Role December 2025 - June 2026 Qualifications: High School diploma Experience in office setting preferred with willingness to learn advanced office based technologies Successful completion of required background checks including, C.O.R.I., S.O.R.I, and SAFIS fingerprinting Reports to: School Principal Job Goal: To support the school office personnel and staff and to aid parents and children as needed. Work Year: School Year Work Day: 7 hours per day in accordance with the BEA Administrative Assistant Contract. Salary/Benefits: In accordance with the BEA Administrative Assistant contract; $30.56 - $40.53 per hour

Requirements

  • High School diploma
  • Experience in office setting preferred with willingness to learn advanced office based technologies
  • Successful completion of required background checks including, C.O.R.I., S.O.R.I, and SAFIS fingerprinting
  • Ability to keyboard
  • Experience using current spreadsheet and word processing software
  • Experience using database software and student management software

Responsibilities

  • Perform general clerical/ administrative assistant tasks independently and at the request of administrators, including preparation of correspondence, reports, and requisitions; scheduling meetings; answering phones; processing mail; greeting visitors; and data entry.
  • Aid visitors and parents that need assistance
  • Prepare student lists by school/class and keep updated
  • Track and distribute school enrollment on a monthly basis
  • Maintain students attendance database, keeping data current and within DOE guidelines
  • Track student dismissal changes for on-site after school activities (including coordinating with the Recreation Dept.) and daily requests from parents.
  • Maintain copiers, call for service repairs when needed
  • Ensure front doors to buildings are locked during school hours and monitor front entrance. Screen and admit visitors as appropriate.
  • Assist Principal's Administrative Assistant as needed to maintain office efficiency
  • Assist with school registrar responsibilities
  • Monitor supplies for building and create orders in financial system
  • Manage school weekly newsletter
  • Collect and verify CORI forms
  • Assist with process for managing absent teachers, including coverage changes
  • Exercise discretion and maintain strict confidentiality when handling sensitive information
  • Schedule meetings as requested
  • Assist with translations as requested by administration and staff
  • Perform other job related duties as assigned
  • Aid in keeping school office organized and productive
  • Ability to work in a multi-task environment
  • Maintain integrity of all database information
  • Maintain confidentiality at all times
  • Possess appropriate organizational skills
  • Be courteous and personable
  • Maintain awareness of emergency procedures
