An Accounts Receivable Administrator is responsible for collecting payments for a company using skills in project management, organization and communications to collect the payments from clients and customers. Accounts Receivable Managers oversee the tracking of payments, banking deposits and reports that document profits and losses for an organization. Essential Duties & Responsibilities: Initiates contact with customers having delinquent accounts, determining reason and arranging for collection. Provides consistent, professional, courteous, and high-quality customer service. Performs research and updated recordkeeping of customer information. Maintain current and detailed collection notes. Oversees the daily workflow of the department. Provides constructive and timely performance evaluations. Apply client payments via check and credit card. Responds to telephone inquiries and assists in resolving questions related to the customer accounts and documents accordingly. Responsible for the timely and accurate distribution of client invoices that are mailed each cycle. Maintains confidentiality of financial records. Daily check deposits. Perform other job-related duties as may be assigned. Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable. Creates invoices according to company practices; submits invoices to customers. Maintains and updates customer files, including name or address changes, mergers, or mailing attentions. Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment. Creates reports regarding the current status of customer accounts as requested. Research customer discrepancies and past-due amounts with the assistance of the Collections Manager and other staff. Collaborates with the Collections Manager to reconcile accounts receivable on a periodic (at least bimonthly) basis. Generates monthly billing statements based on the general ledger. Copies, files, and retrieves materials for accounts receivable as needed. Relays changes of information to appropriate employees. Performs other related duties as assigned.
