About The Position

Summary: Responsible for clerical functions and administrative support of food service programs. Essential Duties and Responsibilities: Office Admin Management Check List- Subject but not limited to: Responsible for opening office at 9am Ready to conduct duties from 9am to 5pm Please refrain/limit personal telephone conversations during working hours. (unless on break of course or emergency Keep professional attire Business casual permitted on some Fridays, depending on event. See dress code for more details. Greet team and guests Direct employees and guest when needed Answer incoming calls Assist management with admin duties for ongoing events Assist in signing in temp labor Maintaining sign in sheet Assist signing out uniforms, nametags, etc. Management of Front Desk Keep area clean, organized and neat Management of Office Supplies Stock supplies Keep area clean, organized and neat Management of Shipments Contact Purchasing Keep boxes out of hallway Check mailbox in Spectra/OVG office and upfront daily Open and reroute mail to specific department head. For example, statements and invoice go to purchasing. GM’s mail should remain unopen. Just place in mailbox. Management of Lost/Found items Turn over to NPI Guest Services (keep out of hallway) Management of Employee Bulletin Board Ensure proper schedules are posted and updated. Ensure proper memos and notices are posted Ensure Most recent Union Seniority List is posted Manage confirmation of schedules on Thursdays Make sure department heads provide schedules Wednesday EOD. Make sure to answer each call that comes through from 9am to 5pm except for lunch break between 12p to 1pm to avoid grievances. Provide department head with a copy of the confirmed schedules EOD Thursday. Keep copy for Admin records Assist with HR duties Onboarding new hire paperwork I9 submission and record keeping Creating legends record keeping Union due slips record keeping Any other Levy policy that is required to update or maintain. Maintain employee files PTO forms Medical forms Disciplinary forms, etc. Assist catering sales team Menu signs Updating BEOs in Master Boo
