We are looking for a NexStep Program Support Specialist to play a key role in furthering our vision and mission in our development department. PURPOSE OF POSITION: To provide service and support to the NexStep staff and students with the overall responsibility of maintaining a high level of professionalism in record keeping, data entry, and student testing. To facilitate student intake and enrollment. To administer Clas-E and TABE 11/12 assessments to maintain compliance with state regulations. To assist in accurate program data collection to be reported to the Kansas Board of Regents to ensure compliance with state requirements. To assist in effectively meeting the program outcome measurements. To provide information about NexStep Alliance to the public. Other assigned functions as deemed necessary by the NexStep Director. To fulfill mission statement.

Requirements

  • Associate's Degree or 3+ years in data entry may be used in lieu of education.
  • Proficient in Microsoft Office with experience with Excel and Word documents. MOS certified a plus.
  • Bilingual in Spanish preferred.
  • Valid driver's license.
  • 3+ years in customer service experience and/or data entry experience.
  • Microsoft Office experience, including Microsoft Excel.

  • Ability to effectively communicate and assist education staff, students, parents and applicants on the telephone and/or in-person in Spanish and English.
  • Able to perform intakes process for enrollment.
  • Maintenance of all records and files as required.
  • Proficient Microsoft Excel and data entry skills.
  • Pass the Pearson Vue test certification within three months and able to maintain certification annually.
  • NOTE: Must have a mobile telephone and maintain it in operating order within carrier's company's maintenance capabilities. Must pass/complete background check and drug screening. Must be licensed driver.

Nice To Haves

  • Test proctoring experience preferred.
  • MOS certified a plus.
  • Bilingual in Spanish preferred.

Responsibilities

  • Assist the Program Support team in all support duties towards providing a quality educational experience for NexStep students.
  • Proctor Kansas Board of Regents approved academic assessments.
  • Ability to effectively communicate and assist education service staff, students, parents and applicants on the telephone and/or in-person.
  • Coordinate schedule with NexStep staff to ensure coverage is provide during hours of operation.
  • Preform all intake and screening of applicants for all NexStep Alliance programs.
  • Handling payments and accurately reconciling the cash drawer.
  • Record student data into state database to ensure compliance with state requirements.
  • Maintenance of all records and files as required to ensure compliance with state requirements.
  • Manage student attendance to ensure compliance with state requirements.
  • Assist in data collection for the Kansas Board of Regents to ensure reports are accurate 
  • Assist with preparation for NexStep events, meetings and workshops.
  • Maintain required certifications as defined by the Grant Compliance and Operations Manager.
  • Assists the Program Support team in all support duties towards providing a quality educational experience for NexStep students.
  • Answers telephones and channels calls and messages to appropriate personnel.
  • Answers emails and website inquiries and forward to the appropriate staff member when necessary.
  • Proctors Pearson Vue, CATS and PSI testing.
  • Preforms all intake procedures for the GED, ESL, and Re-entry programs.
  • Reviews, approves and submits all Compulsory School Disclaimers for underage students to the Kansas Board of Regents.
  • Manages student rosters and accounts in NexStep attendance software, ensuring smooth operations for NexStep Alliance processes and procedures.
  • Handles payments and accurately reconcile the cash drawer on a weekly basis.
  • Handles and tracks all student transfers, withdrawals and deferments to ensure smooth communication and operations for NexStep Alliance processes and procedures.
  • Issues and manages all student testing vouchers after they have been purchased.
  • Administers TABE 11/12 and CLAS-E exams for the GED, ESL and Re-entry programs.
  • Organizes and inputs student and program data into state database to ensure compliance with state requirements.
  • Manages student attendance, reporting hours weekly into state database to ensure compliance with state requirements.
  • Communicates with NexStep Alliance students to ensure they remain in good standing with the program.
  • Travels to other NexStep Alliance campuses to provide coverage for testing and operations as needed.
  • Maintains and audits all student files to ensure compliance with state requirements.
  • Ensures compliance with Family Educational Rights and Privacy Act (FERPA), sharing information with only with authorized personnel.
  • Knowledgeable of and/or ability to learn equipment and software programs: calculators, computer, fax, copier, state database and assessment software.
  • Ability to prioritize in accordance with established procedures related to areas of responsibility.
  • Provides support as needed for NexStep staff.
  • Adheres to all safety policies and report violations.
  • Adheres to all ethical standards and confidentiality of records.
  • Supports mission statement and program outcomes.
  • Supports the accessibility of our services and facilities free of architectural, attitudinal, environmental, financial, communication, transportation, employment and other barriers to person with disabilities and barriers to employment.
  • Responsible for the safety and well-being of all students and employees.
