About The Position

The primary responsibilities of the Music Booking position is to fill the space with events and music. Working directly with talent, agents, managers and additionally to  work with McMenamins talent buyers, promoters and renters with a focus on placing events at the Elks Lodge in Tacoma. This position is responsible for generating contracts for music rentals. Placing correct holds per specifications of promoter Configure ticket prices, ticket types and room capacities depending on the nature of the event.. Work with issues and decisions related to the budget set for the event.  This position is responsible for ensuring that all rentals are processed appropriately and making sure that all outside promoters sign the rental agreement and boiler plate as well as to provide an insurance binder naming McMenamins Inc. as additionally insured. Responsibilities associated with booking are:  creating offers and negotiating payments and specifics of deal structure (Door deal, guarantee, rider specifics [hotel, food and beverage], etc.)  Schedule distribution of pre box tickets and determine will call options, updating the event database (Mad Borg) and event calendar. Verifying database information with staff for accuracy as well as sending Outlook Appt. confirmation on all events.  Other duties include but are not limited to creating the events calendar, create show files, creating and maintaining a budget, secure insurance and licensing, finalizing bookings, ticket tracking,  processing location release agreements for audio, video, film, and streaming for all McMenamins venues and book-keeping.   This position will also be expected to assist in the creation of marketing and promotional strategies for the events in conjunction with the Marketing Department, and networking within the music industry.  Facilitate communication between all departments.  Creating, reviewing and negotiating venue contracts with outside promoters, agents and artists.  Making deposits, setting the sale date, and proofing the tickets.  Being a Entertainment Booker requires mental agility and the ability to effectively multi-task in a fast paced and deadline oriented environment.  This position must also have the ability to work well independently and as a member of a team.   Each employee will be expected to perform their job in a safe manner and report any safety concerns to Management. All McMenamin employees will also be expected to keep current on all company events, history, and products. Other duties as assigned by the Director and Property Manager.

Requirements

  • Previous music and event booking experience is required
  • Previous customer service related experience is required
  • Knowledge of music industry and music audience demographics
  • Familiarity with Tacoma market
  • High level of organizational skills
  • Ability to stay calm and friendly in a multitasking and deadline oriented environment
  • Excellent time management skills and the ability to meet deadlines
  • A flexible schedule including days, evenings, weekends, special events and holidays required
  • Ability to accurately handle cash and work with numbers
  • Basic computer skills, including Word, Excel and Outlook
  • Effectively book music and events
  • Excellent Customer service and sales skills
  • Must have a value for diversity and the ability to work with individuals from different backgrounds
  • Ability to quickly solve problems in a positive and effective manner
  • Ability to organize and analyze detailed information
  • Extensive computer and phone work including fine hand manipulation including work on a computer & keyboard
