About The Position

Spring Haven Senior Living, a vibrant senior living community offering Independent Living, Assisted Living and Memory Care, is seeking an organized, customer-focused Move-In Coordinator to join our Sales & Marketing team. This role is essential in creating a warm, seamless, and professional experience for prospective residents and their families from first contact through move-in process. Position Summary The Move-In Coordinator supports the sales and marketing department by managing inbound inquiries, nurturing prospects, conducting tours, coordinating all move-in logistics, and ensuring every new resident transition is exceptional. This role is ideal for someone who enjoys connecting with families, can juggle multiple priorities, and has strong administrative and customer-service skills.

Requirements

  • Experience in senior living, healthcare, hospitality, real estate, or sales/administrative support preferred.
  • Strong customer service orientation with excellent communication and relationship-building skills.
  • Ability to multitask, meet deadlines, and stay organized in a fast-paced environment.
  • Comfortable working in CRM systems and meeting activity-based metrics.
  • Warm, compassionate demeanor with a passion for serving seniors and families.
  • Occasional evening/weekend availability for events or scheduled move-ins.

Responsibilities

  • Answer inbound calls, respond to inquiries, and provide detailed information about community services, pricing, and availability.
  • Make outbound follow-up calls to prospects, warm leads, and referrals to schedule tours and appointments.
  • Maintain CRM/database accuracy and meet assigned database performance metrics (activity goals, task completion, pipeline management, lead disposition, etc.).
  • Support the Sales Director by assisting in closing activities, follow-up communications, and relationship building with prospects and referral sources.
  • Conduct engaging, informative community tours to prospective residents and families.
  • Serve as the primary point of contact for new residents and their families through the process.
  • Collect all required documents, medical forms, financial verifications, and other compliance items prior to move-in.
  • Assist families with lease signings, paperwork, and administrative requirements.
  • Coordinate internal teams—nursing, maintenance, housekeeping, dining, and activities—to ensure apartments are move-in ready and the transition is seamless.
  • Manage move-in calendars, confirmations, resident welcome communication, and day-of move-in support.
  • Maintain up-to-date move-in trackers and reporting logs to support census and operational goals.
  • Support marketing efforts, including events, open houses, outreach initiatives, and promotional activities.
  • Assist with social media content, photography, and light marketing tasks as needed.
  • Represent Spring Haven professionally at on-site and off-site events.
  • Stay knowledgeable about local competitors, market trends, and industry standards to support strategic decision-making.
