The Milieu Coordinator / Receptionist provides administrative support by greeting and directing clients, answering phones, and performing word processing and data entry as well as other duties as assigned. Requirements

  • At least one year’s experience working in an office setting including operating a multi-line phone.
  • High school graduate or equivalent.
  • Ability to type 50 words per minute with accuracy.
  • Requires superior organizational, multi-tasking, and prioritization skills.
  • Ability to lift minimum of 50 pounds.
  • Effective written and oral communication skills.
  • Current CPR certification or ability to become certified within 30 days of hire.
  • Ability to work effectively in residential environment with clients and staff.
  • Serve as positive role model for clients and staff members.
  • Ability to maintain professional healthy boundaries with clients and staff members, and treat each individual with respect and dignity.
  • Ability to provide support and direction to staff.
  • Ability to triage issues and problems and mobilize staff to respond.
  • Work collaboratively with clients, other NARA staff, team members, and to treat everyone with respect and dignity at all times.
  • If in recovery, must have a minimum of two years sobriety/clean time.
  • Ability to pass a pre-employment or for cause drug tests.
  • Ability to pass criminal background and DMV checks.

Nice To Haves

  • Experience in medical office setting and/or social service agency preferred.
  • Experience working in an alcohol and drug addiction program.
  • Understanding of 12-step philosophy.
  • Experience working within the Native American/Alaska Native community is considered a plus.

Responsibilities

  • Provide client support as required.
  • Answer multi-line phone system, direct calls, take messages.
  • Schedule client appointments by maintaining schedules and calendars.
  • Sort, screen, and distribute incoming mail and process outgoing mail.
  • Facilitate client medication call, maintain all medication sheets, and document proper distribution of medications.
  • Perform typing assignments, data entry and general office support as assigned.
  • Coordinate the collection, filing, processing, maintenance, retrieval and distribution of medical records.
  • Provides administrative support to other Totem Lodge-based programs.
  • Covers front desk reception duties.
  • Notify counselors of client’s progress or problems.
  • Keep daily log of pertinent events.
  • Prepare files and intake packets for incoming clients.
  • Make appropriate referrals.
  • Maintain facility in a clean, orderly fashion while on duty.
  • Do regular sweeps of facility, poison checks, client checks, and ground checks.
  • Follow orientation procedures for all new admissions or re-admissions.
  • Orientate new clients to treatment– review client handbook with client
  • Assist with new admissions such as preparing room assigned to and bed linens, preparing admission pack for clients (towels, bed linens and blankets, t-shirt and pants), personal belongings search and heat treatment, completing the personal possessions inventory list
  • Attend staff meeting as assigned.
  • Maintain client confidentiality in conformance with the program guidelines and federal law.
  • Complete clinical documentation in client records, as needed.
  • Ensure quality of programs in accordance with all program guidelines and NARA policies.
  • Meet regularly with management team of Totem Lodge as needed.
  • Complete Incident Report Forms and participate in incident reviews as needed.
  • Other duties as assigned.
