Requirements

  • Minimum 18 years of age.
  • High school degree or equivalent.
  • Three years’ experience in this or a related field.
  • Excellent communication skills including phone skills.
  • Works effectively with people of different backgrounds, abilities, opinions and perceptions.
  • Able to make independent and sound decisions in a fast paced environment.
  • Able to exercise high levels of discretion and confidentiality.
  • Detail oriented with good organizational skills, and be multi-task proficient.
  • Strong computer skills with the ability to adapt to new software.
  • Must be able to reflect a positive attitude.
  • Must have basic math skills in handling fees.

Responsibilities

  • Build a positive first impression in person or on the phone with a warm smile and personal greeting for all by maintaining a welcoming and professional environment.
  • Verify all members and participants using the facility.
  • Build collaborative relationships and prioritize customer needs above other tasks. Be proactive in providing what they need, not just what they request.
  • Facilitate all business functions related to membership and program registrations with exceptional customer service and accuracy.
  • Enter and report all transactions using point of sale system. Follow all procedures related to collecting and reporting money and other forms of payment.
  • Be a good steward of the Y by following and enforcing policies/procedures, reporting financial irregularities, and exercising attention to detail.
  • Must collect and stay informed of appropriate fees; including being responsible for cash, receipts, and balancing financial journal.
  • Daily reconciliation of previous day’s cash receipts with cash reports for all center transactions includes ensuring cash drawers and deposits balance.
  • May reconcile petty cash on a monthly basis.
  • Assist with tracking, retaining, and contacting current and new members, providing facility tours, responding to members’ questions and concerns, and most importantly building collaborative relationships with members in person and over the phone.
  • Stay informed on membership and program activities in order to respond to needs and questions with accurate information.
  • Assist with accounts receivable collections.
  • Perform quality check of membership forms and files in electronic filing system.
  • Act as manager on duty, responding to any concerns that occur at the center and updating the appropriate leadership team member.
  • Will perform tasks relating to financial aid; including reviewing applications, meeting with members and entering financial aid memberships.
  • Provides training for point of sale system, as assigned.
  • May assist with affiliated marketing events and retention activities.
