About The Position

The Medical Group Management Association (MGMA) is dedicated to advancing the business of healthcare, empowering medical group practices through data, insights, and advocacy since 1926. MGMA is seeking a Meeting Specialist - States to join their Denver/hybrid team. This role is responsible for the comprehensive planning, execution, and monetization of state chapter meetings, conferences, and events. The specialist will leverage strong event operations expertise alongside hands-on sponsorship and exhibit sales to ensure high-quality attendee experiences and effective revenue generation. Operating as a high-competency execution specialist, this position will partner with Association Managers and chapter leaders to deliver successful events that align with chapter goals.

Requirements

  • Ability to consistently promote, support, work, and act in a manner in support of MGMA’s mission, vision, and values/behaviors.
  • Strong working knowledge of sponsorship and exhibit sales models, including packaging, pricing within guidelines, fulfillment, and post event reporting.
  • Strong knowledge of end-to-end event planning and execution practices, including meetings, conferences, educational programs, and on-site operations.
  • Proven ability to sell, manage, and retain event sponsors and exhibitors through effective relationship management and execution excellence.
  • Make real time execution decisions related to event delivery, logistics, and sponsor fulfillment within established guidelines.
  • Strong financial and operational skills, including event budget development, expense tracking, sponsorship revenue tracking, and reconciliation.
  • Ability to ensure consistent, high-quality attendee and sponsor experiences aligned with MGMA and chapter standards.
  • Ability to resolve issues in real time during on site event execution using sound judgment and professionalism.
  • Ability to collaborate effectively with Association Managers, chapter leaders, marketing, and cross functional partners to deliver successful events in a federated or matrixed environment.
  • Ability to maintain professionalism and represent the organization effectively with partners sponsors, and external stakeholders.
  • Exceptional written and verbal communication skills and effective project management capabilities.
  • 4–7+ years of experience in meetings, events, conferences, or sponsorship management.
  • Demonstrated experience planning and executing events end-to-end.
  • Must have reliable transportation.
  • Must have valid driver's license.

Nice To Haves

  • A Bachelor’s degree in Business Administration, Communications, Marketing, or related field is preferred.
  • Experience working with associations, chapters, or membership-based organizations preferred.
  • Experience operating in a federated or matrixed environment preferred.
  • Familiarity with healthcare organizations and practices preferred.
  • Certified Meeting Professional (CMP) or Digital Event Strategist (DES) preferred.

Responsibilities

  • Plan and execute state chapter meetings, conferences, and educational events from concept through post-event wrap-up.
  • Develop detailed event timelines, run-of-show documents, and logistics plans.
  • Coordinate venues, vendors, speakers, audiovisual services, registration, and on-site logistics.
  • Manage on-site and virtual execution and resolve issues in real time to ensure a high-quality attendee experience.
  • Ensure events are delivered on time, on budget, and aligned with MGMA and chapter standards.
  • Other duties as required and necessary to ensure the success of the organization.
  • Sell sponsorships and exhibits for state chapter events in accordance with approved guidelines.
  • Partner with chapters and marketing to identify sponsorship opportunities and packages.
  • Manage sponsor relationships from sale through fulfillment.
  • Ensure sponsor deliverables such as signage, recognition, and exhibit logistics are executed accurately.
  • Support post-event sponsor reporting and renewal opportunities.
  • Source, contract, and manage vendors and suppliers.
  • Develop and track event budgets, expenses, and sponsorship revenue.
  • Ensure contracts, timelines, and deliverables are met.
  • Maintain event documentation, templates, and standardized processes to support repeatable execution.
  • Partner with Association Managers and chapter leaders to align events with chapter goals and priorities.
  • Collaborate with marketing on event promotion and sponsor fulfillment.
  • Participate in the Product Development Lifecycle (PDLC) as an execution and revenue partner, supporting launches and delivery.
