About The Position

A Medical Staff Coordinator coordinates the credentialing process for initial appointment and reappointment for the medical and allied health professional staff. They manage the compliance to ensure all individuals with clinical privileges provide services within the scope of their training, licensure and individual clinical privileges granted. After an orientation period, flexible work arrangements may be made.

Requirements

  • Associate's or B.S. degree in Business or Healthcare Administration is preferred; however, 3 years experience may be substituted for a degree.
  • Direct experience in Medical Staff Services preferred.
  • Act 31 / Act 33 / Act 34 / Act 73 with renewal

Nice To Haves

  • CPMSM (Certified Professional Medical Services Management) or Certified Provider Credentialing Specialist (CPCS) Certification by the National Association for Medical Staff Services preferred.

Responsibilities

  • Credentialing & Primary Source Verification
  • Review PSV documents to identify errors, omissions, and discrepancies; initiate additional PSV as needed.
  • Compare PSV, CVs, and credentialing forms for accuracy and consistency.
  • Obtain required quantitative and qualitative data from applicants, internal databases, and primary facilities.
  • Validate and correct CVO-entered data; notify CVO of missing or incorrect information.
  • Compile, maintain, and update practitioner credentialing files and profiles.
  • Ensure credentialing data is accurately entered into facility systems following board-approved actions.
  • Maintain credentialing schedules, status reports, and hospital-specific data entry.
  • Perform mandated NPDB queries and ensure compliance with reporting requirements.
  • Process Coordination & Compliance
  • Coordinate the credentialing and recredentialing process for medical and allied health staff.
  • Ensure chiefs and chairpersons receive complete, accurate information for privilege delineation.
  • Facilitate formal and informal peer review processes and pursue additional information when needed.
  • Forward complete files to division chiefs, department chairs, and Credentials Committee for review.
  • Adhere to departmental timelines and regulatory standards (JCAHO, NCQA, state requirements).
  • Monitor practitioner privileges to ensure alignment with training, licensure, and granted privileges.
  • Report credentialing concerns to the Director promptly.
  • Communication & Relationship Management
  • Maintain strong working relationships with CVO staff, enrollment specialists, medical staff leadership, and facility departments.
  • Provide updates to departments regarding approved credentialing actions.
  • Support Medical Staff Officers, committee chairs, and healthcare professionals in performance assessment and risk identification.
  • Forward callers and individuals to the Director when appropriate.
  • Obtain additional information requested by leadership or committees.
  • Administrative & Operational Support
  • Manage Medical Staff Conference Room calendar and meeting logistics.
  • Assist with Medical Staff social activities and event coordination (invitations, RSVPs, seating, entertainment, gifts).
  • Answer phones, screen visitors, and provide general office support.
  • Track and complete work orders; coordinate office maintenance and repairs.
  • Maintain adequate departmental supplies and inventory.
