The Medical Staff Coordinator plays a vital role in ensuring the highest standards of patient safety and healthcare quality across the organization. This position manages the full credentialing and privileging lifecycle, supports medical staff members throughout their engagement, and ensures compliance with all regulatory and accreditation requirements. Requirements

  • High School Diploma or GED required.
  • Minimum of two years of experience in medical staff credentialing or provider services (multi‑specialty environment preferred).
  • Strong understanding of healthcare regulatory agencies, accreditation standards, and medical staff bylaws.
  • Knowledge of credentialing and privileging standards, processes, and best practices.
  • Familiarity with medical terminology, EHR systems, and credentialing databases.
  • Proficiency in Microsoft Office Suite and credentialing software.
  • Excellent written and verbal communication skills, including the ability to create accurate reports and correspondence.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Problem-solving and analytical skills to evaluate complex data.
  • Ability to maintain strict confidentiality and handle sensitive information appropriately.
  • Strong relationship‑building skills with providers, administrators, and staff.
  • Adaptability to changing regulations and organizational needs.
  • Commitment to professional, collaborative, and service‑oriented interactions.
  • Successful completion of background checks (criminal, driving record, abuse/neglect, fingerprinting).
  • Valid driver’s license, acceptable driving record, and current auto insurance.

Nice To Haves

  • Associate’s degree in health administration, business, or related field preferred.
  • CPCS or CPMSM certification preferred, or willingness to obtain within two years.

Responsibilities

  • Credentialing & Recredentialing Manage the full credentialing process, including applications, primary source verifications, and documentation reviews. Ensure credentialing files are complete, accurate, and processed within required timelines.
  • Privileging Management Coordinate, track, and maintain privileging requests, renewals, modifications, and corrective actions. Ensure compliance with organizational policies, medical staff bylaws, and regulatory standards.
  • Medical Staff Liaison Serve as the main point of contact for providers on credentialing, privileging, bylaws, policies, and procedures. Provide onboarding, orientation support, and ongoing communication to medical staff members.
  • Committee Coordination Prepare and present credentialing files to the Credentialing & Privileging Committee. Maintain thorough records of committee actions and follow up on required documentation.
  • Regulatory Compliance Monitor, interpret, and apply requirements from federal and state agencies, accrediting bodies, and organizational policies. Ensure Medical Staff Office operations consistently meet compliance standards.
  • Policy & Bylaws Support Assist in the development, revision, and implementation of medical staff bylaws, rules, regulations, and policies.
  • Data & Records Management Maintain accurate, confidential medical staff records and databases. Utilize credentialing software and data management systems to support efficient workflows.
  • Reporting & Audits Generate reports for administration and medical staff leadership. Support surveys, audits, and inspections by preparing required documentation.
  • Quality & Process Improvement Participate in performance improvement initiatives. Identify process gaps and recommend solutions to enhance accuracy, efficiency, and provider satisfaction.
  • Other Duties as Assigned Support additional departmental projects and responsibilities as needed.
