About The Position

The Medical Secretary will provide virtual ancillary clinical and administrative support to the multidisciplinary team to ensure patient care is delivered in an effective and efficient manner to seniors and their families.

Requirements

  • Possess written and verbal communications skills to explain sensitive information clearly and professionally to diverse audiences, including non-medical patients, family, caregivers, and staff.
  • Ability to understand medical/behavioral health/mental health terminology.
  • Ability to write clear notes in a patient’s chart and assist with constructing patient-centered care plans.
  • Ability to interpret a variety of data and instructions, furnished in written, oral, diagram, or schedule form.
  • Strong time management and organizational skills, including the ability to prioritize assignments and work within standardized operating procedures to achieve objectives and meet deadlines.
  • Proficiency in electronic medical record (EMR) systems and Google Suite.
  • Minimum of two years’ experience in a medical setting or one year experience in behavioral health setting, or a comparable job classification.
  • Bilingual (English-Spanish)

Nice To Haves

  • Prior experience working in behavioral health and/or with an elderly population is preferred.
  • Comfort with ambiguity and working in a new, fast-paced environment; prior experience working at a startup is a plus.

Responsibilities

  • Provide administrative support to the clinical team, including the psychiatrists, nurse practitioners, and certified medical assistants.
  • Outreaching PCP offices to collect patient labs, medical records, or other requests as they arise.
  • Assist with Prior Authorizations for medications for providers in the clinic.
  • Prepping patients charts for their intake visits.
  • Faxing intake and follow up notes to the patients PCP.
  • Rescheduling or scheduling of patients requested by the provider of the clinical admin team.
  • Provide back up coverage for the medical assistants.
  • Help to coordinate treatment with the patient, family, and the multidisciplinary care team, including contacting other health care providers, generating, and sharing medical records with appropriate consent, and similar tasks.
  • Work as part of a multidisciplinary care team composed of psychiatrists, nurse practitioners, social workers, and facilitated telehealth coordinators to provide high quality, virtual-first, coordinated care to patients with serious mental illness and substance use disorders.
  • Ensure smooth patient and workflow within the department and assist the patient care team in implementing the medical plan of care.
  • Process incoming and outgoing calls in an independent and professional manner using sound clinical judgment.
  • Perform other duties as assigned or as they arise.
