About The Position

A busy and fast‑paced medical practice is seeking a Medical Secretary to join their patient-facing administrative team. This role is ideal for someone who thrives in a high‑volume environment, enjoys helping patients, and is looking to grow within a reputable healthcare organization. Position Overview The Medical Secretary will serve as the first point of contact for patients, providing exceptional customer service while supporting daily front desk operations. This role is responsible for scheduling appointments, managing patient check‑ins, verifying insurance, answering phones, and assisting with procedure scheduling. The ideal candidate is organized, personable, and capable of multitasking in a fast-moving clinical setting.

Requirements

  • High School Diploma required.
  • 1–3+ years of experience in a medical front desk, patient registration, or similar healthcare administrative role.
  • EPIC experience is required.
  • Strong customer service skills and professional phone etiquette.
  • Ability to multitask and stay organized in a high‑volume setting.
  • Familiarity with medical terminology, insurance verification, and pre‑auth processes.
  • Proficiency in scheduling systems, data entry, and general clerical tasks.

Responsibilities

  • Schedule patient appointments, follow‑up visits, and medical procedures.
  • Greet incoming patients, check them in, and update patient information.
  • Answer incoming phone calls professionally and direct inquiries as needed.
  • Maintain a clean, welcoming, and organized front desk area.
  • Enter patient information accurately into the system.
  • Manage high‑volume phones and coordinate schedule changes.
  • Provide general office support including scanning, filing, and data entry.
  • Assist with patient flow by communicating with medical staff and relaying updates.
  • Complete insurance verifications and obtain necessary prior authorizations.
  • Ensure all required documentation is completed prior to patient procedures.
  • Communicate with patients regarding insurance coverage and financial responsibilities.
  • Create a positive patient experience through clear communication and empathy.
  • Address patient questions or direct them to the appropriate staff member.
  • Support a professional and collaborative environment within the clinic.
