For more information, please visit www.youthvillages.org Position Overview: The Medical Records Specialist is responsible for managing, reviewing, and processing requests for medical records and disability-related documentation. This position ensures accurate, timely, and compliant responses to requests from clients, healthcare providers, government agencies, insurance companies, legal representatives, and third-party entities.

Requirements

  • High school diploma or GED (required)
  • Strong organizational skills and attention to detail
  • Excellent written, verbal, and oral skills
  • Ability to manage multiple priorities simultaneously
  • Ability to maintain a flexible schedule

Nice To Haves

  • 1-3 years of experience in medical records or health information management (preferred)

Responsibilities

  • Reviews, processes, and responds to requests for medical records and disability documentation in compliance with HIPAA and applicable federal/state laws
  • Evaluates requests to ensure appropriate documentation is included and complete
  • Coordinates with physicians, clinicians, and other departments to gather required records or clarify documentation
  • Prepares and issues formal responses, including completion of disability forms (e.g. Social Security, insurance requests, etc.)
  • Verifies authorization forms and ensures all record requests have valid client or legal guardian consent
  • Maintains accurate records of all requests, responses, and communications using electronic health record (EHR) systems and tracking tools
  • Communicates professionally with clients, legal representatives, and external agencies to clarify requests or provide updates
  • Monitors request turnaround times to meet regulatory deadlines and organizational standards
  • Assists in audits, quality assurance, and compliance reporting related to medical records access and release of information (ROI)
  • Ensures strict confidentiality and security of client information at all times
  • Performs other related duties as assigned
