About The Position

Position Summary The Front Office Representative is responsible for interacting with customers both face to face and over the phone. The Front Office Representative develops and maintains positive patient relations and enters information required by insurance companies as well as electronic medical records software. Front Office Representative move patients through a predetermined schedule of appointments with the physician in a timely manner. Reviews requests for authorization and referral, obtains necessary information to authorize the procedure or medicine request. Essential Duties and Responsibilities The essential functions include, but are not limited to the following: Portraying a positive company image and engaging in professional and friendly communications with patients and visitors. Answer inquiries or refer questions to other staff members as needed. Interview’s patient or representative to obtain and record accurately the patient’s: name, address, DOB, emergency contact, medical insurance, scan insurance cards, ID as well as completes the questions required by electronic medical records software. Multitasking by answering multiple phone lines, electronically scheduled appointments, and performing other clerical duties such as moving electronic faxes to the appropriate folders and sending electronic messages to nurses. Establishing and maintaining patient forms such as but not limited to, HIPAA, Privacy notices, demographic sheets. Verifies and updates patient’s insurance via insurance website, manually, automatic download or over the phone. Updates patient status from pending to arrive. Efficiently and accurately entering patient information necessary for proper claims processing prior to sending patient to cashier window. When working as a cashier, collect co-pays, outstanding balances, post payment. Balance cash drawer daily Responds to requests for authorizations and referrals. Working with the nurses and doctors to obtain the necessary information to approve the request. Electronic communication to indicate approval for procedures or medicines. Schedules Medical Record Reviews Ensure Medical Record requests are provided for the ROI company. Assist in billing functions; adjustments, collections or any other clerical tasks as needed. Assist in training employees in front office duties. Cross train in all aspects of the front office duties. Additional Responsibilities : Maintains reception area in a neat and orderly condition. Participates in the medical office emergency plan when required. Summons nurse and ambulance in case of patient or visitor emergencies. Assist patients with wheelchair, opening and locking wheels of the chair. Call when assistance is needed in and out of the vehicle. Assist patients with calling transportation services. Opens and locks the front doors to the building on scheduled hours of the clinic. Signs for packages delivered to the office. Distribute prepacked sample medications to specified patients and return to nurse expired sample medications. Attends OSHA, HIPAA, and all internal offered in-services. Performing other duties as assigned and assisting other staff members with their duties as workload dictates.

Requirements

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience
  • Ability to accurately serve as a cashier, including processing credit cards, making change, and other basic math skills.
  • Ability to act independently and work in a fast-paced environment.
  • Good oral/written communication skills

  • Ability to multi-task
  • Ability to work in a team environment and take direction from management and supervisors.
