About The Position

The Medical Education Coordinator is responsible for the coordination and daily operational support of residency education programs and medical and advanced practice provider (APP) student rotations across Hunt Memorial Hospital District (HMHD). This role supports residency programs with a strong emphasis on the Internal Medicine and Podiatric Residency Programs, as well as additional residency programs developed by the organization. The Coordinator ensures effective scheduling, onboarding, documentation, evaluation tracking, and communication in collaboration with Program Directors, faculty, clinical departments, and academic partners. This role also serves as the primary coordinator for all medical student, nurse practitioner, and physician assistant rotations across the district.

Requirements

  • High school diploma or GED required; associate's or bachelor's degree in healthcare administration, health sciences, education, or a related field preferred.
  • Minimum of two (2) years of experience in graduate medical education, academic coordination, credentialing, or a related healthcare administrative role preferred.
  • Familiarity with residency program operations, academic affiliation agreements, student placement processes, and regulatory or accreditation requirements (e.g., ACGME, CPME) strongly desired.
  • Strong organizational skills with a high level of attention to detail.
  • Ability to manage multiple priorities, deadlines, and programs while working with diverse stakeholders.
  • Excellent verbal and written communication skills, including professional correspondence and documentation.
  • Proficiency in Microsoft Office Suite; experience with residency management systems, credentialing software, or medical education platforms preferred.
  • Ability to handle confidential and sensitive information with discretion and sound professional judgment.
  • Strong problem-solving skills with the ability to escalate issues appropriately through supervisory channels.
  • Ability to work independently while functioning effectively within a supervised team structure.

Responsibilities

  • Residency Program Operational Coordination
  • (Internal Medicine, Podiatric Residency, and Future Residency Programs)
  • Coordinate day-to-day administrative and operational activities for all residency programs in accordance with program requirements and institutional policies.
  • Maintain and distribute rotation schedules, call schedules, vacation and leave schedules, conference calendars, and meeting schedules as directed by Program Directors and the Executive Assistant--GME Supervisor.
  • Coordinate resident onboarding activities, including required documentation, access requests, and orientation logistics.
  • Maintain accurate and confidential resident files, records, and compliance documentation; escalate regulatory or accreditation-related concerns to the Executive Assistant--GME Supervisor.
  • Collect, track, organize, and distribute resident, faculty, and rotation evaluations; prepare documentation for Program Director and supervisor review.
  • Support residency recruitment logistics, including applicant communication, interview scheduling, preparation of interview materials, and coordination of interview days; strategic recruitment oversight remains with the Executive Assistant--GME Supervisor and Program Directors.
  • Assist with resident appointment, reappointment, completion, and exit processes in coordination with the Executive Assistant--GME Supervisor.
  • Coordinate Internal Medicine Grand Rounds, educational conferences, journal clubs, and resident educational activities.
  • Arrange resident travel and conference participation in accordance with approved guidelines and budgets.
  • Maintain residency manuals, policies, procedures, and program resources.
  • Coordinate residency committee meetings, including agenda preparation, meeting minutes, and follow-up communication.
  • Assist with data collection, reporting, and documentation in support of accreditation and regulatory requirements under the guidance of the Executive Assistant--GME Supervisor.
  • Support the onboarding and operational implementation of new residency programs developed by Hunt Memorial Hospital District, under direction of the Executive Assistant--GME Supervisor.
  • Maintain podiatric residency credentialing and compliance files, including licensure, malpractice coverage, and resident evaluations.
  • Manage supervising physician agreements, secondary institution agreements, and residency documentation.
  • Track podiatry resident time logs, evaluations, and program compliance requirements.
  • Coordinate podiatric residency recruitment logistics, including participation in CASPR/CRIP processes.
  • Maintain podiatry residency schedules, program manuals, and website content.
  • Support CPME survey preparation and podiatric residency committee activities, escalating survey findings and compliance concerns to the Executive Assistant--GME Supervisor.
  • Under the direction of the Executive Assistant--GME Supervisor, the Medical Education Coordinator serves as the primary operational coordinator for all medical student and APP student rotations.
  • Coordinate all medical student, nurse practitioner, and physician assistant rotations across Hunt Memorial Hospital District.
  • Serve as liaison between academic institutions, students, faculty, and clinical departments.
  • Manage onboarding, credentialing, compliance documentation, and EMR access for all students.
  • Develop, maintain, and communicate student rotation schedules and preceptor assignments.
  • Track student hours, evaluations, time logs, and performance documentation.
  • Submit student timesheets for reimbursement and coordinate internal preceptor payment processes.
  • Maintain accurate student files, rotation logs, and activity records.
  • Ensure compliance with academic affiliation agreements and student supervision requirements; escalate concerns to the Executive Assistant--GME Supervisor as appropriate.
  • Provide administrative and operational support to Program Directors and the Executive Assistant--GME Supervisor.
  • Prepare reports, rosters, correspondence, and program documentation as requested.
  • Maintain databases, tracking tools, calendars, and education records.
  • Assist with orientations, educational events, meetings, and recognition activities.
  • Maintain confidentiality and professionalism in all communications.
  • Represent Hunt Memorial Hospital District in a professional manner with all educational partners and learners.
