About The Position

The Media Coordinator ensures the successful setup and execution of audio / visual (AV) needs for events and daily operations. This position collaborates closely with staff to coordinate updates to the daily work schedule, support event preparation, and maintain AV equipment. This hands-on role requires technical proficiency with sound systems and software, strong problem-solving skills, and the ability to adapt to shifting priorities in a fast-paced, guest-facing environment. Weekend availability is often required, along with occasional overtime during events or conferences.

Requirements

  • A combination of education and experience equivalent to an Associate’s degree in related field or, a minimum of 1-2 years relevant experience working with Audio/Video equipment.
  • Must have demonstrated good communication skills, client relation skills, and a commitment to providing responsive and conscientious customer service.
  • Must have working knowledge of all types of sound systems, computers, and live video operations.
  • Must have a strong working knowledge of Media Shout, Pro Presenter, and Power Point on PC and Mac.
  • Must be flexible and able to adapt to changing needs, multiple task demands, and work structures.
  • Ability to read and comprehend instructions, short correspondence, emails, and memos.
  • Ability to effectively present job related information upon request to customers, clients, and employees of the organization.
  • Proven computer skills, organizational skills, and interpersonal skills is required.
  • Ability to solve practical problems and handle a variety of customer, clients and employee questions.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule formats.
  • Must be willing to work a flexible schedule
  • Ability to coordinate work, regularly moves about, able to stand for prolonged periods of time, walk, sit, manual dexterity to handle or feel, reach with hands and arms.
  • Ability to climb or balance, stoop, kneel, talk to and hear staff and customer requests, and also lifts or otherwise move objects weighing up to 100 pounds.
  • Must be able to regularly climb 15 foot fixed vertical ladder.
  • Must have adequate vision to carry out daily activities.

Responsibilities

  • Execute daily AV setups, operations, and strikes for meeting rooms, auditoriums, and event spaces across the property.
  • Lead, train, schedule, and provide task supervision to seasonal AV support staff.
  • Operate Audio/Video tools including cameras, audio systems, lighting, presentation software, and recording gear.
  • Move, deliver, and install AV equipment across locations.
  • Coordinate changes to schedules and updates to the daily AV work list.
  • Support large-scale productions in Stuart Auditorium, assist with staging needs including stage setup and breakdown.
  • Communicate with and schedule external AV contractors.
  • Monitor daily workflow to ensure setups and operations are executed properly.
  • Serve as primary AV technician and point of contact during internal and external events.
  • Lead AV coverage planning and execution for weekend events.
  • Respond promptly to urgent operational requests via radio.
  • Participate in the on-call rotation for after hours AV assistance.
  • Responsible for maintaining and updating inventory of media-related equipment and AV systems.
  • Conduct annual cleaning, maintenance, and functional testing of AV systems.
  • Assist with equipment installation, configuration, and calibration.
  • Collaborate with Services and Recreation departments on event logistics and shared initiatives.
  • Identify and recommend enhancements to AV workflows and systems.
  • Monitor and report maintenance or custodial issues in event spaces.
  • Ensure media equipment and areas comply with safety practices and procedures.
  • Support Event Services department with tables, chairs, podiums, and banner setups.
  • Help other departmental staffing needs in the off season.
  • Provides cross-departmental support during seasonal periods as needed, by supporting routine tasks and projects that contribute to overall organizational efficiency.
