About The Position

Duties and Responsibilities: Event Planning and Coordination Plan, organize, coordinate, and promote all special events, fundraisers, and community outreach activities from conception through completion. Develop event timelines, budgets, sponsorship proposals, and post-event evaluations. Collaborate with the Director of Development to establish annual and long-range event goals, secure sponsorships, in-kind donations, and partnerships to support events. Coordinate logistics for events, including venue, catering, décor, audio/visual, registration, and production support. Monitor event budgets, track invoicing and expenses, and ensure financial goals are achieved. Serve as liaison to volunteers, exhibitors, and speakers to ensure communication, deadlines, and responsibilities are met for successful event execution. Evaluate events and participant feedback to ensure continuous improvement. Coordinate and oversee employee special events including the Christmas luncheon, annual picnic, employee appreciation activities, and client celebrations such as the Kids in Care Picnic and Ice-Skating event. Volunteer and Donor Relations Recruit, train, motivate, and establish goals and responsibilities for volunteers and event committees. Cultivate and maintain positive relationships with donors, sponsors, and community partners. Write and distribute thank-you letters to donors, sponsors, and volunteers. Attend community events, meetings, and conferences to promote YSS’s mission and fundraising initiatives. Marketing and Communications Prepare and maintain promotional materials for special events through YSS social media, website and newsletters. Develop and implement marketing and communication strategies to promote events, programs, and organizational initiatives. Manage agency social media accounts, website content, and promotional campaigns to maintain consistent branding and visibility. Execute daily social media activities, monitor engagement, respond to interactions, and analyze results to enhance outreach efforts. Design and produce the organization’s annual report and other marketing collateral. Build and maintain relationships with media outlets, civic organizations, and other nonprofits to enhance community engagement. Administrative and Support Establish and maintain professional working relationships with agencies, volunteers, and staff. Assist and support the Director of Development with departmental and organizational initiatives. Perform other duties as assigned.

  • Requires Bachelor’s Degree in Communications, Event Management, Marketing, Public Relations, or related field.
  • Minimum of two years of experience in event planning, marketing, communications, or nonprofit engagement.
