About The Position

We are looking for a hands-on Marketing Operations Specialist to own, administer, and continuously improve the marketing and sales technology stack that powers History Factory's growth. You'll receive clear business priorities and translate them into working systems: automated workflows, integrated data pipelines, clean contact databases, and dashboards that give our sales and leadership teams real visibility into what's working. HubSpot is the core of our stack. If you don't love living inside HubSpot, this role isn't for you. If you do, you'll have plenty to build: connecting Seamless.AI and Workamajig to HubSpot, configuring detailed analytics data and creating reports/dashboards within Hubspot for our sales and marketing teams, orchestrating lead routing and drip campaigns, and coordinating web updates with our external development partner. You'll report directly to our Client Partner Strategist, with a dotted-line relationship to our Head of Technology for integration architecture support.

Requirements

  • 2–3 years of hands-on experience in a marketing operations, marketing technology, or revenue operations role.
  • Advanced proficiency with HubSpot CRM: specifically Sales Hub workflows, contact/company properties, lists, pipelines, sequences, dashboards, and reporting. HubSpot Marketing Software or Inbound Certification strongly preferred.
  • Demonstrated experience building integrations between marketing/sales tools using Zapier, native connectors, or similar middleware.
  • Experience managing and importing data from a sales intelligence platform (Seamless.AI, ZoomInfo, Apollo, or equivalent) with attention to data quality and deduplication.
  • Strong attention to detail and a systematic approach to diagnosing and resolving issues in complex, multi-tool data environments.
  • Clear written and verbal communication skills; you'll regularly translate technical findings into plain language for non-technical stakeholders.
  • Comfort operating with autonomy in a small team; you can manage your own priorities and deliver without close supervision once requirements are clear.

Nice To Haves

  • HubSpot Sales Software or Operations Hub Certification.
  • Experience with Workamajig or a comparable creative/agency project management platform.
  • Experience in a professional services, creative agency, or B2B services environment.
  • Basic understanding of HTML/CSS sufficient to troubleshoot email template rendering or identify tracking snippet placement issues.
  • Experience with LinkedIn Campaign Manager and its CRM integration capabilities.
  • Familiarity with data privacy and compliance considerations (CAN-SPAM, opt-in management) when importing prospect data into a CRM.

Responsibilities

  • Own and administer the full HubSpot instance (Sales Professional license), including contact and company records, deal pipelines, lifecycle stages, and user permissions.
  • Build, test, and maintain automated workflows for lead nurturing, internal notifications, task assignment, and follow-up sequences.
  • Configure and manage lead routing rules, lifecycle stage transitions, and MQL/SQL handoff logic.
  • Design and deploy segmented email campaigns and drip sequences, from list build to send to performance analysis.
  • Build and maintain dashboards and custom reports that give sales, marketing, and leadership accurate visibility into pipeline health, campaign performance, and lead quality.
  • Audit the existing HubSpot instance regularly to maintain data hygiene: deduplicate records, standardize properties, and enforce data entry standards.
  • Build and maintain the bidirectional data sync between HubSpot and Workamajig (our project management platform) using Zapier - ensuring deal and project data stays current in both systems.
  • Configure and manage the Seamless.AI integration with HubSpot, including field mapping, deduplication rules, and data quality thresholds to prevent contact database degradation.
  • Manage the WordPress-to-HubSpot connection via Gravity Forms, ensuring all web forms capture, route, and attribute correctly within HubSpot.
  • Oversee the LinkedIn Ads integration with HubSpot, verifying conversion tracking, audience syncing, and attribution accuracy.
  • Evaluate and implement new tools or integrations that support long-term growth, presenting recommendations to the Marketing Operations Lead.
  • Own Google Analytics 4 from configuration through reporting — set up event tracking, conversion goals, and audience segments; ensure accurate data flows to the website and downstream tools.
  • Identify and close tracking gaps between GA4, HubSpot, and our WordPress site; work with our Head of Technology to validate data integrity.
  • Produce regular reports on website traffic, lead generation performance, email campaign metrics, and sales funnel health for internal stakeholders.
  • Serve as the internal technical point of contact for historyfactory.com and the other related websites, translating business and marketing requirements into clear briefs for our external web development partner and internal design team.
  • Review and QA web updates, form configurations, and tracking implementations before they go live.
  • Coordinate with external SEO and analytics partners to ensure tracking is configured correctly and delivering actionable data.
