About The Position

The Marketing Workflow Manager is responsible for coordinating, tracking, and driving execution of marketing projects across a fast-paced, high-volume marketing organization. This role manages workflow intake, timelines, cross-functional alignment, resource coordination, and project status updates to ensure deliverables are completed on time and in scope. The Marketing Workflow Manager serves as the central point of coordination between creative, brand, digital, product, email/SMS, events, and other internal teams.

Requirements

  • Bachelor’s degree in Marketing, Communications, Business, or related field.
  • 5-7 years of project management or traffic management experience within a marketing, creative, or agency environment.
  • Advanced proficiency with ASANA which includes building complex workflows, templates, dashboards, portfolios, custom fields, reporting. managing schedules, portfolios, and task-level details across multiple concurrent initiatives.
  • Experience managing multiple concurrent marketing projects with competing priorities.
  • Strong understanding of marketing processes and lifecycles (creative, digital, email/SMS, campaigns, product launches, etc.).
  • Excellent communication skills, both written and verbal, with the ability to manage cross-functional stakeholders.
  • Strong attention to detail, organizational skills, and follow-through.
  • Proficiency in project management best practices, tools, and documentation.

Nice To Haves

  • Experience supporting consumer-facing brands and global organizations.
  • Background working directly with creative, digital, and content development teams.
  • Familiarity with other workflow and asset management tools (e.g. Monday.com, Jira, Workfront, Smartsheet, Airtable).
  • Experience with Salesforce Marketing Cloud (SFMC), email/SMS deployment processes, or marketing automation workflows.

Responsibilities

  • Manage day-to-day project workflow, including project intake, scoping, resourcing, timelines, and task assignment.
  • Act as traffic manager for all marketing deliverables, ensuring clarity of ownership, deadlines, and dependencies.
  • Build and maintain detailed project plans within Asana, including boards, timelines, dashboards, portfolios, and reporting views.
  • Facilitate project kickoffs, team check-ins, and status meetings; document decisions, risks, changes, and action items.
  • Partner with marketing leads (creative, digital, brand, product, etc.) to understand project requirements and ensure alignment across functions.
  • Track project progress and proactively identify risks or blockers; escalate issues and propose solutions.
  • Maintain visibility into team workload and capacity, making recommendations for prioritization or resource adjustments.
  • Ensure deliverables meet scope expectations and are routed appropriately for review, approval, and final delivery.
  • Monitor and enforce process standards to promote consistency and cross-team efficiency.
  • Support continuous improvement by refining project workflows, templates, and operational practices within Asana and beyond.
