About The Position

Marketing Project Manager The ASU Outreach Hub is a nonprofit organization that supports the outreach and transactional needs of the ASU public enterprise through marketing and engagement solutions that advance the university and strengthen its brand. It specializes in paid media outreach, data-driven insights and outreach to alumni, donors and targeted corporations. The Marketing Project Manager (MPM) is a key contributor in the marketing project management team within the Outreach Hub. They are responsible for the smooth workflow and timely delivery of assigned projects, and work closely with a team of designers, writers, and internal partners, as well as external vendors, to meet project goals and objectives. The MPM manages project intake requests, defines project scope, develops project plans and assigns projects and work, facilitating kickoffs and reviews, while managing shifting priorities and competing deadlines. The MPM serves as a strategic problem solver who assesses project needs and goals, assesses capacity of team participants, develops solutions, and works collaboratively to make informed decisions to meet deadlines. The MPM is an advanced project manager who leads the optimization of processes by identifying and maximizing utilization of project management tools and technologies. With a focus to continually improve and advance the work of the collective marketing project management team, the MPM will implement efficiencies that support Outreach Hub workload at scale. Additionally, the MPM is responsible for the hiring, onboarding, coaching, and development of student worker(s) who support the needs of the team. What you’ll do Works closely with Outreach Hub team members to manage and coordinate the production of marketing collateral, campaigns, publications, web and digital properties, social media, and other materials to execute strategic goals for teams across ASU Enterprise Partners and Arizona State University, keeping projects on time and on budget Tracks resources, timelines and financials/budgets associated with each project; problem-solves to discover resolutions to keep projects moving to meet client expectations Balances established workflows and processes with client needs and team capacity, solving problems and making on-the-spot decisions to accomplish goals; looks for tools and technologies to support expanding project volume Leads cross-functional team alignment with the Outreach Hub team, including internal colleagues, and external vendors; regularly and actively collaborates to achieve deliverables Proactively informs leaders when deadlines are at risk or bandwidth is stretched beyond project viability Leads stand-up meetings, project collaboration meetings, and project priority meetings to ensure projects are progressing, new projects are accounted for and assessed, and cross-team collaboration is smooth, efficient and effective Collaborates, shares/gains other best practices, and extends influence across other project management teams in the ASU ecosystem, including ASU Enterprise Brand Strategy and Management Takes lead in evaluating new/emerging project management solutions and technologies such as AI, automations, data analytics, reporting/dashboards and/or other technologies and tools that help the team advance our work Works with leadership to identify opportunities to improve the processes within the Outreach Hub to support execution for marketing campaigns for large and complex initiatives with wide reaching impact; troubleshoots project bottlenecks and proactively informs and engages stakeholders Serves as a go-to resource regarding best-in-class project management methods, use of tech and tools and advanced approaches to project intake, project management, and project completion Works creatively and analytically in a problem-solving environment demonstrating teamwork, innovation, and excellence Uses industry-standard project management (PM) methods and approaches to problem solve, and develops policies and procedures to optimize and track workflows to meet Outreach Hub marketing needs Responsible for hiring, training, coaching, and evaluating 1-2 student workers Other duties as assigned

Requirements

  • Highly trained in project management, uses multiple PM principles, practices, methods, techniques and frameworks to solve problems
  • Comfortable with shifts in priorities, continual change and agility to see the entire project volume landscape
  • Ability and experience working with management to regularly assess tools, systems and technologies that allow the team to optimize and track workflow, and drive cross functional team alignment, as well as increased capacity
  • Skilled relationship builder, a champion of teamwork and collaboration, and uses a people-first approach to leverage project management tools to build solutions and enhance the team's working experience and effectiveness
  • Strong organizational, goal setting, and time management skills with the ability to set priorities, multi-task, and meet deadlines
  • Creative and critical thinking skills; and high attention to detail
  • Strong and collegial interpersonal skills and an ability to communicate effectively in person, in writing, and by phone
  • Skilled in supervising the activities of student workers, including hiring, performance evaluations, professional development, directing daily activities, training, scheduling, etc.
  • Skilled in exercising a high degree of judgment and diplomacy
  • Working knowledge of print and digital marketing and communications vehicles and production processes
  • Advanced knowledge of Microsoft Office suite
  • Advanced knowledge of project management systems (i.e. Wrike, Asana, Jira, Workfront, etc.)
  • Bachelor’s degree in a related field
  • Five years of experience in roles supporting marketing project management, including:
  • 3 + years’ experience working on a high-volume project team (in-house marketing or agency experience, preferred)
  • At least two years of supervisory experience
  • Working knowledge and application of agile, waterfall, scrum, and other project management processes
  • Proven experience with process improvements/workflow optimizations
  • Demonstratable experience in managing and prioritizing multiple tasks and deadlines, and working collaboratively in a fast-paced, dynamic team environment

Nice To Haves

  • Project Management Professional (PMP) certification
  • Advanced education in Project Management, Business, or Marketing
  • Advanced knowledge of Wrike project management system
  • Experience with MarTech and/or project management specific tools and technologies
  • Experience evaluating and enhancing project management approaches to support growth at scale
