The Lodge of Northbrook Position Title: Marketing & Move Coordinator Exempt Status: Nonexempt Supervisor: Marketing & Sales Director Starting Salary: $53,000 plus commission General Summary The Marketing & Move Coordinator is responsible for supporting the sales, marketing efforts and move processes of the community. This position provides administrative and operational assistance to the Directors, Marketing and Sales or Executive Director, ensuring the smooth execution of sales activities, lead management, and customer service. The Marketing & Move Coordinator interacts with prospective residents, families, and referral sources, assisting with inquiries, tour experiences, follow-ups and management of apartment readiness and moves to enhance occupancy. Key Responsibilities Track and maintain Salesforce, ensuring all leads are recorded, updated, and followed up on promptly. Assist the Director of Marketing & Sales with scheduling tour experiences, preparing marketing materials, maintaining sales reports, and coordinating event logistics. Greets and supports guests in the marketing office, ensuring an experience consistent with the LCS Extraordinary Impressions Program. Respond to phone and online inquiries, provide general information, and assist with scheduling tour experiences for prospective residents, their families and referral sources. Support the execution of on-site tour experiences and sales events, including set-up, greeting guests, and providing essential community information. Support the resident move-out process administratively and coordination of apartment readiness. including refurbishment and staging. Ensure refurbishing quotes are approved in a timely fashion. Facilitate the resident move-in process by coordinating all initial application and orientation paperwork, scheduling move-in dates, and ensuring a seamless transition. Coordinate and schedule distribution of keys, garage door opener and lifeline personal help button. Assign, document and maintain the log for the parking stall and storage room assignments for each resident. Help implement marketing campaigns, distribute promotional materials, and maintain social media engagement to attract potential residents. Assist in compiling sales and occupancy reports, tracking progress against sales goals, and ensuring accuracy in documentation. Provides coverage at front desk as needed. Attends meetings as requested. Perform all other related duties as assigned in an effective, timely and professional manner. Qualifications High school diploma or equivalent required. 2+ years of experience in sales support, customer service, or administrative roles, ideally in senior living, healthcare, or hospitality. Strong organizational skills and attention to detail. Excellent written and verbal communication and interpersonal skills, with a warm and welcoming demeanor. Excellent keyboarding and proofreading skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and ability to learn Salesforce and other electronic systems. Experience with digital marketing, email marketing and social media highly desirable. Ability to multitask and work efficiently in a fast-paced environment. Takes initiative. Flexibility to work occasional evenings, weekends, or holidays as required. Ability to handle confidential information with professionalism and discretion. Willingness to be available for any/all emergencies regarding the community. License or Other special requirements Must possess current and valid driver’s license. Must possess personal driving record consistent with the requirements of the Driver Selection Policy. Physical Requirements/Working Conditions Normally works in well-lit, comfortable surroundings. Must be able to concentrate with frequent interruptions. Must be able to walk for 75% of the workday. Must be able to tour/provide experiences through the entire community including the ability to push an individual in a wheelchair. Must be able to bend and stoop and be able to lift and carry up to 25 pounds independently.
