About The Position

We are seeking a highly organized, adaptable, and motivated Operations & Marketing Coordinator to support both front-office operations and marketing efforts for our HVAC company. This is a dynamic and multifaceted role that plays a key part in the day-to-day business flow and long-term growth of the business. Responsibilities span customer communication, dispatch and scheduling support, administrative coordination, and executing marketing initiatives. Because this position touches many areas of the company, it requires strong problem-solving skills, flexibility, and the ability to manage changing priorities in a fast-paced service environment. In return, this role offers significant growth potential, increased responsibility over time, and the opportunity to develop into a senior operations, marketing, or management position as the company continues to grow.

Requirements

  • 2+ years of experience in office administration, dispatch, marketing, or a related role
  • Strong multitasking and organizational skills
  • Excellent written and verbal communication abilities
  • Comfortable working in a fast-paced, service-based environment
  • Proficiency with computers, CRM, scheduling, and basic marketing tools
  • Ability to manage competing priorities and meet deadlines

Nice To Haves

  • Experience in HVAC, construction, or home services preferred
  • Familiarity with dispatch software is a plus (ServiceTitan, Housecall Pro, Jobber, etc.)
  • Basic SEO knowledge (local SEO, on-page optimization, Google Business Profile)
  • Experience with Canva or similar design tools
  • Understanding of lead tracking and local service marketing

Responsibilities

  • Answer incoming customer calls and schedule service, maintenance, and emergency appointments
  • Assist with dispatching technicians based on priority, availability, and location
  • Confirm appointments and communicate schedule updates to customers and technicians
  • Enter job details, notes, and invoices into the CRM or dispatch software
  • Support billing, payment processing, and basic administrative tasks
  • Maintain organized customer records and service histories
  • Assist with maintenance agreement tracking and renewals
  • Provide professional customer service and handle basic issue resolution
  • Create, schedule, and execute marketing campaigns
  • Manage social media scheduling and content (service photos, promotions, reviews, team highlights)
  • Assist with email marketing, promotions, and customer communications
  • Manage Website and SEO - updating website content, service pages, and location-based pages
  • Optimize blog posts, service descriptions, and FAQs using basic keyword research and on-page SEO best practices
  • Monitor Google Business Profile updates, service categories, photos, and posts to support local SEO
  • Track website traffic, search visibility, and lead sources using tools like Google Analytics and Search Console
  • Monitor and respond to online reviews (Google, Facebook, etc.)
  • Develop, design and produce marketing materials
  • Coordinate branded materials, uniforms, and printed assets
