Marketing Events Administration Job Summary The Marketing Events Administration role requires strong organizational, analytical, and interpersonal skills, along with the ability to manage multiple priorities independently with minimal supervision. This position provides administrative and operational support to Management, including preparing and maintaining reports, managing system data, and ensuring accuracy across marketing programs. The incumbent must be detail-oriented, highly organized, and able to meet deadlines while maintaining a high level of accuracy and professionalism.

Requirements

  • High School Diploma required. Equivalent experience may be accepted in lieu of education requirements.
  • 2–4 years of relevant administrative, marketing support, or operations experience.
  • Ability to work independently and collaboratively as a team player.
  • Strong organizational and prioritization skills.
  • Ability to multitask while maintaining attention to detail and accuracy.
  • Strong computer literacy and proficiency with standard office software.
  • Scheduling flexibility based on business needs.
  • Ability to exercise discretion and sound judgment when handling sensitive information.
  • Ability to work effectively under pressure while maintaining professionalism.
  • Positive, enthusiastic attitude with strong work ethic.

Responsibilities

  • Provide technical training and ongoing support to sites on the marketing support system.
  • Maintain system data and user access, including adding new call centers, source events, packages, offers, tour schedules, and employee logins.
  • Ensure accurate tracking of marketing programs and categories.
  • Fulfill ad-hoc reporting and data requests to support operational and leadership needs.
  • Process and research tour concerns by area, site, agent, and marketing program.
  • Monitor tour policy compliance and identify opportunities for improvement.
  • Track and monitor survey sheets, tour claims, and walk-ins.
  • Process weekly vendor invoices accurately and in a timely manner.
  • Support lead generation initiatives by maintaining referral paper lead slips and processing incoming leads.
  • Track and monitor all leads sent and received across marketing channels.
  • Serve as a subject matter expert for best practices related to lead distribution.
  • Ensure all lead campaigns are accurately entered into the marketing support system.
  • Communicate campaign performance and results to leadership.
  • Set up premium (gift) types in the marketing support system.
  • Serve as site-level support for premium-related questions and troubleshooting.
  • Reconcile premiums disbursed to ensure accuracy and mitigate financial or compliance risks.
  • Support sites with weekly premium orders, including American Express gift cards and transfer setups for card activation.
  • Generate weekly, bi-weekly, and monthly reports from multiple systems, including lead generation, tour schedules, premium distribution, and program performance.
  • Ensure reporting accuracy and timeliness to support leadership decision-making.
  • Perform additional administrative or operational duties as assigned.
