About The Position

The Marketing Administrative Assistant & Graphic Designer supports marketing, advertising, corporate events and communications initiatives through a combination of administrative coordination and creative production. This role is responsible for deploying advertising and marketing creative materials, producing high-quality graphic assets, and assisting with general corporate administrative tasks, events, and projects.

Requirements

  • 2-3 years of experience in graphic design with strong proficiency in Adobe Illustrator and Photoshop. A portfolio of past graphic design work is required if the candidate advances to the interview stage.
  • 2–3 years of experience in data entry and processing, preferably within Accounts Payable and Accounts Receivable, with adherence to proper cost accounting practices aligned to company financial dimensions
  • Advanced proficiency in Microsoft Excel and other productivity programs, including Dynamics 365, Word, PowerPoint, Teams, and Outlook.
  • Motivated, proactive, and self-initiating problem-solver with strong attention to detail and organizational skills.
  • Excellent time-management skills with the ability to manage multiple tasks and projects simultaneously through completion.
  • Strong written and verbal communication skills.
  • Reliable transportation and a valid, active driver’s license.

Nice To Haves

  • Bachelor’s degree in business administration, marketing, mass communication, advertising, public relations, or a related field.
  • 1-3 years of experience assisting with advertising media buying or selling.
  • Prior social media page management experience using Meta Business Suite (Facebook and Instagram), TikTok, YouTube, and LinkedIn.
  • Strong editorial and blog writing skills.
  • Moderate video-editing skills with proficiency in Adobe Premiere Pro for infographic-style videos.

Responsibilities

  • Coordinate monthly or quarterly with the Senior Director of Marketing and Communications and external media sales partners to distribute approved radio, TV, out-of-home, and digital advertising buys, creative materials, and instructions.
  • Monitor advertising and branded content creative daily, including radio and TV spots, billboard creative, and social media branded content, and order new creative prior to expiration dates.
  • Process and pay advertising invoices monthly by spot-checking broadcast logs, confirming proof of delivery against media buys, logging orders in Workamajig, and processing payments in Microsoft Dynamics 365 in accordance with proper cost accounting standards.
  • Coordinate with the Accounts Receivable department, as needed, to bill supplier partners for marketing co-op programs, including advertising campaigns, event sponsorships, and sampling promotions.
  • Produce graphic content weekly for advertising and marketing campaigns, social media promotion, and corporate events, ensuring compliance with brand and legal guidelines.
  • Monitor social media page activity daily and assist the Digital Marketing team with scheduling approved posts.
  • Assist with media coverage and interview coordination by drafting press releases and media advisories, distributing them to local newsrooms after approval, and coordinating news team coverage as needed.
  • Support other corporate departments by ordering office supplies, making check deposits at local banks, and checking mail at the local USPS post office box.
  • Assist annually with corporate and Stars Scholarship Fund event planning and coordination.
