Before mid-morning, you’ve entered new customer orders into the ERP, sent confirmations, and checked in with production to align delivery timelines. After lunch, you scan and file updated prints, help load documents for the shop, and compile a quick dashboard for leadership. You wrap up by coordinating next week’s calendars, following up on a customer inquiry as the backup point of contact, and noting a small process tweak that will make tomorrow smoother. How you’ll contribute Front office and communication: greet and direct visitors, maintain visitor logs, answer and route calls promptly and professionally, communicate clearly with customers, vendors, and internal teams, and serve as a backup on customer inquiries and follow-up. Administrative backbone: enter purchase orders and job details into the ERP; assist production with print loading, document scanning, and recordkeeping; support HR, training, production, and sales with general admin tasks; manage calendars, coordinate internal schedules, and assist with office communications. Customer order flow: process customer orders, send confirmations, provide order status updates, coordinate delivery timelines, track job progress, and collaborate cross-functionally to resolve issues; maintain spreadsheets and reports for executives and customer follow-up. Document control and reporting: create, revise, and file digital and hard-copy documents; handle confidential information appropriately; compile reports and metrics for management and department leads. Operations support: monitor workflow and flag resourcing needs; uphold company policies and procedures; recommend process improvements in administrative and customer service practices; maintain a tidy office and support shop floor visits as needed. What you bring Education: high school diploma or GED required; associate’s degree in business, administration, or a related field is a plus. Experience: 1–3 years in administrative or customer service roles, ideally in manufacturing; ERP experience and order entry preferred. Skills: excellent written and verbal communication; strong interpersonal service mindset; high organization and attention to detail; analytical thinking and problem-solving; proficiency with Microsoft Excel, Word, and Outlook.
