The Manufacturing Administrative Assistant will provide comprehensive administrative support to the Manufacturing department to ensure operational efficiency, compliance, and alignment with organizational goals.

Requirements

  • High School Diploma or equivalent
  • 2-3 years of job experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Customer Focus - Building strong customer relationships and delivering customer-centric solutions
  • Plans and Aligns - Planning and prioritizing work to meet commitments aligned with organizational goals

Responsibilities

  • Prepare, proofread, and distribute operational documents
  • Correlate and input key performance metrics
  • Maintain organized filing and retrieval systems
  • Review and validate invoice details against purchase order, delivery receipts, and contract terms
  • Enter and Process invoices in the financial system (Concur, SAP)
  • Monitor invoice aging and follow up on pending approvals or missing documentation
  • Minimize payment delays and vendor disputes
  • Schedule and track training sessions using Learning Catalog and tracking tools
  • Reserve rooms and coordinate resources (A/V, food, materials)
  • Maintain accurate training records
  • Manage correspondence, calendars, and meeting logistics
  • Coordinate expense approvals and capital project documentation
  • Track attendance and recognition programs (e.g., GEM Awards)
  • Plan and support meetings, travel, and reporting
  • Create and manage spreadsheets and reports
  • Serve as gatekeeper for Plant Manager access
  • Ensure all SOP files are current
  • Files new SOP
  • Track expenses and maintain inventory
  • Coordinate repairs and supply orders
  • Maintain MSDS documentation
