About The Position

As the Manager - Workplace Services, you will play a critical role in supporting Hines corporate offices throughout the Americas by overseeing daily service delivery and maintaining safe, functional, and community-oriented environments. This role will serve as a subject matter expert and oversee asset and equipment management, office improvement projects, and site budgets as well as integrate and oversee the deployment of partner programs including workplace experience and health and safety. The Manager is responsible for leading matrixed site teams, managing projects, managing vendors, and ensuring compliance with service standards and performance metrics.

Requirements

Bachelor's degree from an accredited institution or equivalent work experience required.
Five or more years of experience in facilities operations or building management.
Strong knowledge of building systems, maintenance procedures, and vendor oversight.
Proficiency in facility management software and reporting tools.
Excellent organizational, communication, and problem-solving skills.
Ability to work calmly under pressure in a fast-paced environment.
Familiarity with safety codes, regulations, best practices, and ensuring a safe workplace.
Facilities systems knowledge including HVAC, electrical, plumbing and emergency systems.
Ability to plan, execute, and oversee routine inspections and maintenance schedules.
Skilled in managing multi-trade work orders, small projects, and capital projects.
Experience in managing vendor contracts, service delivery, and quality assurance.
Familiarity with facilities management and project management software.
Commitment to hospitality, ensuring that all actions contribute to positive experiences.
Strict adherence to a high degree of confidentiality.
Ability to comply with health and safety protocols.
Ability to manually lift 30 lbs.
Use olfactory, auditory, and visual senses to inspect buildings and detect emergency alarms.
Ability to climb up and down stairs, access restrictive openings, and perform emergency procedures.

Responsibilities

Manage daily operations and physical space for assigned site(s), ensuring functionality, compliance, and readiness.
Oversee all workplace site activity through leadership of a matrixed team and implementation of functional programs and standards.
Provide courteous and timely communication to customers, fostering a welcoming and service-oriented environment.
Manage workplace services (janitorial, mailroom, security) and coordinate asset management including installation, maintenance, and inventory.
Conduct inspections and manage service requests, including complex, multi-trade work orders.
Oversee warranty service and ensure timely completion of repairs and replacements.
Lead vendor relationships on-site, ensuring scheduling, service quality, and adherence to financial protocols.
Develop budget recommendations, oversee spend management, and lead quarterly forecasting cycles. Support annual planning and conduct in-depth variance analysis to drive strategic financial decisions
Review and reconcile invoices, ensuring alignment with contracts and accurate payment processing.
Collaborate cross-functionally to implement strategic initiatives, support events, and enhance workplace experience.
Support emergency response and participate in after-hours on-call rotation.
Collect, interpret, present, and tell stories leveraging operational data.
Analyze operational data to identify trends, drive cost savings, and improve service delivery.
Manage assigned personnel; Recruit, train, develop, and manage personnel performance.
Provide guidance and support of assigned staff; oversee staffing coverage and shift schedules.
Promote a culture of diversity, inclusivity, and ethical conduct across all interactions.
Maintain courteous and professional relationships with occupants, visitors, landlords, and service partners.
Meet regularly with stakeholders to share updates, resolve issues, and solicit feedback.
Implement strategic, site-specific, operational, and service improvement plans.
Effectively implement and deliver departmental initiatives and programs.
Coordinate portfolio-wide asset and equipment management programs.
Oversee portfolio-wide work order management systems and reporting.
Assist with capital project planning and serve as a project manager for capital and post occupancy projects.
Work collaboratively with the technology team, supporting infrastructure and service deployments as necessary.
Support the Sr. Manager - Operational Safety & Resilience by assisting with projects and development of programs focused on the workplace.
