The Indirect Loan Administration Manager is responsible for overseeing the operational, administrative, and compliance functions that support Rogue's indirect lending, Third Party, and dealer partner programs. This role leads the daily administration of the indirect lending pipeline, including funding, documentation review, and workflow coordination. The position provides leadership to a team of six Indirect Funding Specialists and collaborates closely with the VP of Indirect Lending & Loan Participations, the Manager of Indirect Lending, Underwriting, Indirect Relationship Managers, Loan Servicing, and Compliance. This partnership ensures accurate execution of all indirect loan transactions, adherence to regulatory and internal requirements, and continuous process improvement across the full indirect lending lifecycle.

Requirements

  • Three years to five years of similar or related experience.
  • A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.
  • A significant level of trust and diplomacy is required, in addition to normal courtesy and tact.
  • Work involves extensive personal contact with others and is usually of a personal or sensitive nature.
  • Work may involve motivating, influencing or training others.
  • Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary and often requires the ability to influence and/or sell ideas or services to others.

Responsibilities

  • Lead the Indirect Funding team by setting clear expectations, coaching for performance, and ensuring strong cross-departmental collaboration.
  • Oversee the full administrative lifecycle of indirect loans, including application flow, stipulation collection, documentation auditing, lien perfection, insurance verification, and booking accuracy.
  • Manage and continuously refine internal workflows to ensure timely funding decisions, minimized errors, and efficient throughput to minimize carryover.
  • Track and report key operational metrics including funding turnaround time, documentation exceptions, error rates, dealer performance indicators, backlog, and audit results.
  • Provide data-driven recommendations to improve efficiency, reduce risk, and support organizational goals.
  • Monitor dealer funding performance trends and provide feedback to leadership regarding service levels, exceptions, and opportunities for deeper engagement.
  • Ensure all funded loans meet state, federal, and internal compliance requirements (Reg Z, OFAC, TILA, ECOA, GAP/DAP disclosures, titling laws, etc.)
  • Partner with Compliance, Legal, and Internal Audit to address findings and implement corrective actions.
  • Maintain current knowledge of regulatory and industry changes impacting indirect lending.
  • Hires, trains, coaches and motivates a highly qualified staff sufficient to meet the daily operational needs of the areas assigned.
  • Establishes and maintains objective accountability measurements and evaluates performance on all direct reports.
  • Focus on succession planning and supporting staff in their pursuit of advancement.
  • Creates and maintains a coaching culture to consistently strive toward the highest level of employee achievement and performance in building Member Loyalty.
  • Establishes and adjusts workflows to ensure process optimization is implemented on a consistent basis.
  • Continuously pursues process improvements through technological enhancements.
  • Works closely with the Support and Delivery Teams to ensure continuity across all channels.
  • Participates with the preparation of dashboard reporting for financial, statistical, management and accounting needs to proactively manage activities, direction and growth.
  • Proactively performs other duties as needed or assigned.
