The Flight Scheduling Manager is responsible for overseeing daily scheduling operations for student activities, including flights, simulators, and oral exams. This role provides detailed operational data and analytical support to the Department Chair, Assistant Chair, Chief Instructor, Director of Maintenance, and Director of Scheduling to ensure efficient and effective allocation and utilization of resources.

Requirements

  • Bachelor’s degree required
  • 3–5 years of relevant work experience
  • Strong management, organizational, public relations, technical, and problem-solving skills
  • Demonstrated analytical skills with in-depth knowledge of information systems
  • Proficiency in Microsoft Office Suite, including Access, Excel, PowerPoint, Word, Outlook, and general internet applications

Responsibilities

  • Supervise geographically dispersed site leaders responsible for daily scheduling operations, including schedules, checkrides, aircraft, simulators, and instructors
  • Oversee scheduling office staff, including full-time employees and part-time student workers
  • Maintain and record student availability, both within and outside assigned flight blocks, including ground sessions
  • Track instructor availability and unavailability within and outside scheduled work shifts
  • Allocate daily flight resources to support operational needs
  • Prepare and deliver periodic reports to the Department Chair
  • Generate recurring daily, weekly, and monthly reports on aircraft, simulator, and instructor utilization
  • Conduct ad hoc analysis of resource constraints and surpluses (daily, weekly, monthly, and annually) to support budgeting, student retention initiatives, and institutional audits/requirements
  • Manage flight system data, including synchronization and validation
  • Serve as a liaison between flight scheduling and other departments
  • Recruit and hire staff to support a seven-day operation
  • Develop daily schedules of approximately 300 flight lessons using flight training software to ensure efficient operations
  • Ensure optimal utilization of instructors, aircraft, simulators, and oral exam rooms across multiple ramp locations
  • Monitor and coordinate practical flight tests, including scheduling checkrides
  • Verify accuracy of student flight blocks and availability, including proper rounding days when required
  • Coordinate scheduling for special events requiring flight resources, such as discovery flights, tours, and summer programs
  • Perform other duties as assigned
