About The Position

The Manager, Implementation & PMO at Medefy Health is responsible for building and establishing the company's Project Management Office from the ground up. This position will manage the Project Management team while creating PMO methodology, processes, templates, and governance frameworks. The role leads customer implementations and renewals that directly impact company revenue and customer satisfaction, as well as internal Business/IT projects, working across the enterprise to deliver both customer-facing and internal operations. This is a builder role operating in a 'player-coach' model - requiring significant hands-on execution to fill capacity gaps while simultaneously recruiting, building, and developing the team. Over time, the role will transition from hands-on execution to pure strategic leadership as the PMO function and team mature. About our awesome company, Medefy Health... Requirements

  • Bachelor's degree in project management, business administration, or related field
  • Project Management Professional (PMP) or equivalent certification (CSM, PgMP, ITIL)
  • 5+ years project management or operations experience
  • 3+ years people management experience
  • 3+ years experience with customer implementations, customer success, or customer experience in SaaS or healthcare technology, including government contracts or large enterprise accounts
  • Previous experience building or improving PMO functions, processes, and methodologies
  • Proven ability to balance strategic leadership with hands-on execution
  • Strong cross-functional leadership and influence skills
  • Excellent written and verbal communication skills
  • Strong analytical and problem-solving skills

  • Healthcare industry experience (benefits navigation, health insurance, employee benefits, telemedicine)
  • Experience with organizational operating systems (EOS, OKRs, Scaling Up)
  • Agile/SCRUM experience
  • Solid organizational skills including attention to detail

Responsibilities

  • PMO Leadership & Team Management: Build and establish project methodology from the ground up for customer implementations, renewals, and internal enterprise projects
  • Recruit, build, and manage the Project Management team including Implementation Managers, Program Managers, and Project Managers
  • Create PMO processes, templates, governance frameworks, and standards where none currently exist
  • Roll up sleeves to fill capacity gaps in project execution while simultaneously growing the team
  • Assist with professional development of team members
  • Write and maintain project documentation and templates
  • Ensure resource availability and allocation across project portfolio
  • Delegate project tasks according to skill and experience level
  • Use and continually develop leadership skills
  • Customer Implementations & Renewals: Oversee customer implementations (standard and enterprise) from sales handoff through go-live and stabilization, directly impacting company revenue and customer retention
  • Manage customer renewal projects including data updates, contract changes, and benefit modifications that drive recurring revenue
  • Personally execute complex enterprise implementations during building phase as team scales
  • Build and maintain relationships with enterprise clients including government agencies and large employers
  • Internal Business & IT Projects: Lead assigned internal Business/IT projects to ensure adherence to budget, schedule, and scope
  • Personally execute critical enterprise projects during building phase

  • Project Execution & Governance: Ensure that all projects are delivered on time, within scope and within budget
  • Sets and tracks project milestones; manages and accounts for unforeseen delays, then realigns schedules and expectations as needed
  • Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility
  • Develop detailed project plans to monitor and track progress
  • Manage changes to project scope, schedule and costs using appropriate verification techniques
  • Measure project performance using appropriate tools and techniques
  • Perform risk management to minimize project risks
  • Create and maintain comprehensive project documentation
  • Contract Management & Reporting: Oversee operational contract management including SLA compliance, deliverable tracking, and performance monitoring
  • Establishes and implements project communication plans, providing status updates to affected staff and stakeholders
  • Track project performance and report to senior management
  • Report and escalate to senior management as needed
  • Attend conferences and training as required to maintain proficiency
  • Performs other related duties as assigned
