About The Position

The Manager, Administrative Operations leads the strategy and delivery of centralized administrative support across the enterprise, ensuring consistent, scalable, and high‑quality service aligned to organizational priorities. The role builds and manages a pooled administrative workforce, including Administrative Business Partners, Executive Assistants, and administrative professionals, and owns the end‑to‑end operating model spanning hiring, onboarding, training, deployment, and standards. This leader partners closely with Talent Acquisition, HR Service Delivery, and business stakeholders to assess demand, deploy resources effectively, and ensure continuity of support. Through operational rigor, standardized ways of working, and continuous improvement, the role strengthens administrative service delivery, develops administrative talent, and enables flexible support models that adapt to evolving business needs. This is a hybrid position that is onsite in Lake Forest two days a week.

Requirements

  • Bachelor's Degree or equivalent experience Business Administration, Human Resources, Operations, or a related field required
  • 5+ years in administrative operations, executive support leadership, shared services, or operational support functions required
  • 2+ years of people leadership required
  • Demonstrated ability to manage resource allocation, staffing coverage, or workforce deployment across teams or business units.
  • Experience establishing standardized processes, service models, or operational workflows to improve efficiency and service quality.
  • Strong stakeholder management skills with the ability to partner effectively with senior leaders, HR, and cross-functional teams.
  • Experience using enterprise systems such as SuccessFactors, ServiceNow, or similar HR and service management platforms.
  • Strong organizational, problem-solving, and communication skills with the ability to manage competing priorities in a fast-paced environment.

Responsibilities

  • Leads the operational management of a centralized administrative services model, ensuring consistent, scalable, and high-quality administrative support across the organization.
  • Manages a pooled team of administrative professionals and Executive Assistants, deploying resources across Administrative Business Partner teams to meet evolving business needs and maintain service continuity.
  • Oversees workforce planning and resource allocation to ensure appropriate coverage, workload balance, and flexibility during vacancies, leaves, or periods of increased demand.
  • Establishes operational standards, service expectations, and performance metrics to drive consistent ways of working, improve efficiency and quality of administrative support, and provide operational insights that inform workforce planning and leadership decision-making
  • Partners with Talent Acquisition to assess administrative talent needs, lead recruitment efforts, and build a strong pipeline while fostering engagement, retention, and professional growth of administrative professionals aligned with operational requirements.
  • Owns the administrative onboarding experience, ensuring new hires are equipped with the tools, knowledge, and processes required to deliver effective support quickly.
  • Designs and implements structured training and development programs to build administrative capability, strengthen consistency, and support career growth across the team.
  • Oversees the deployment of administrative resources across teams and functions, partnering with other Managers of Administrative Services to ensure effective support coverage, mitigate disruptions during transitions or peak demand, and maintain business continuity.
