About The Position

The Administrative Services Manager provides critical operational and administrative support to Insight Memory Care Center while ensuring a welcoming and professional front office environment. This role manages day-to-day reception and administrative services, coordinates volunteers and interns, and supports functions across Finance, HR, IT, and program operations. The position serves as the primary point of contact for front office services while also coordinating the volunteer and intern program, including recruitment, onboarding, and ongoing engagement. This individual supports multiple departments by maintaining administrative systems, assisting with documentation and reporting requirements, and ensuring efficient internal operations. Insight Memory Care Center is a 501(c) 3 nonprofit whose mission is to provide specialized care, support and education for individuals with Alzheimer's disease and other memory impairments, their families, caregivers, and the community through our adult day health and resource center. Serving Northern Virginia since 1984, IMCC offers a spectrum of holistic care, education and support, with a vision of a community where those affected by memory impairments can achieve the highest quality of life. IMCC also provides a safe and therapeutic environment for people in all stages of dementia. A vital part of IMCC is providing a well-rounded therapeutic recreation program that meets the physical, cognitive and social needs of each participant.

Requirements

  • 2–4 years administrative, office management, or operations support experience.
  • Experience coordinating volunteers, interns, or community partnerships preferred.
  • Experience supporting HR, finance, or administrative operations preferred.
  • Strong organizational and multitasking skills.
  • Demonstrated ability to maintain confidentiality when handling sensitive information.
  • Proficient in the use of Microsoft Office Applications (Excel, Work, Power Point, Outlook, etc.) and ability to learn accounting software systems.
  • Strong communication and interpersonal skills.
  • Must be able to execute the terms and conditions set forth in the Insight Memory Care Center Employee Handbook, including, but not limited to: Works in a safety-conscious manner which ensures that safe work practices are used in order not to pose a risk to self or others in the workplace. Reports any safety violations or hazards to supervisor. Complies with company policies and procedures and local, state, and federal regulations. Adheres to policy on Drug-Free Workplace. Interacts in a tactful, diplomatic, and humanistic manner with participants, families, visitors, and co-workers to provide a safe, efficient, and therapeutically effective caring environment which ensures the self-respect, personal dignity, rights and physical safety of each participant and facility guest. Maintains a dependable attendance record and adheres to standards of cleanliness, grooming, hygiene, and dress code. Nice To Haves

  • Associate’s or Bachelor’s degree in Business Administration, Human Resources, Healthcare Administration, or related field preferred.
